GENERAL SUMMARY

The Buyer is responsible for sourcing, purchasing, and managing inventory of products and materials to support Paris Brothers’ coffee manufacturing, food distribution, and 3PL warehousing operations. This role focuses on executing procurement strategies, maintaining optimal inventory levels, and ensuring product availability while controlling costs and maintaining quality standards.

ESSENTIAL DUTIES & RESPONSIBILITIES

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

1. Source, evaluate, and select suppliers based on cost, quality, service, and reliability

2. Negotiate pricing, terms, and contracts to achieve cost savings and favorable agreements

3. Issue purchase orders and manage order lifecycle from placement through delivery

4. Monitor inventory levels and demand forecasts to ensure appropriate stock levels and minimize stock outs or overstock

5. Partner with warehouse and operations teams to ensure timely receipt and accurate inventory management

6. Analyze purchasing data, trends, and market conditions to inform buying decisions

7. Maintain strong supplier relationships and manage supplier performance, including service levels and quality metrics

8. Resolve issues related to pricing discrepancies, shortages, delays, and quality concerns

9. Ensure compliance with company policies, food safety standards, and regulatory requirements

10. Support new product introductions and vendor onboarding processes

11. Continuously identify opportunities for process improvement, cost reduction, and efficiency gains

FISCAL RESPONSIBILITY 

· Position has moderate fiscal responsibility. May assist in the collection of data in support of recommendations for departmental budget allocations.
 

Requirements

MINIMUM QUALIFICATIONS

Required Education and Experience

· Bachelor’s degree from an accredited college or university in Supply Chain, Business, or related field. 

· Two (2) to five (5) years of purchasing or procurement experience, preferably in food distribution, manufacturing, or logistics.

· Experience with ERP systems, Microsoft Dynamics 365 Business Central preferred

· Advanced experience with Microsoft 365, including Microsoft Word, Excel, PowerPoint, and Outlook

· Experience with Microsoft Power BI is a plus

· An equivalent combination of training, education, and experience that provides the required skills, knowledge and abilities may be considered.
 

Required Licenses or Certifications

· Relevant expertise and/or certifications are a plus

COMPETENCIES FOR SUCCESSFUL PERFORMANCE OF JOB DUTIES

Knowledge of:

· Knowledge of inventory management principles and demand planning

· Procurement and contracting procedures

· Basic understanding of food safety and regulatory requirements (e.g., FDA, HACCP)

Skill in:

· Strong communication and interpersonal skills

Ability to:

· Analyze data and make sound purchasing decisions

· Manage multiple priorities in a fast-paced environment

· Collaborate cross-functionally with internal teams and external suppliers

· Identify and implement process improvements

· Advanced ability to collaborate and negotiate

 

POSITION TYPE AND EXPECTED HOURS OF WORK

· May work in a normal office environment and/or remote office as approved. Will sometimes be required to work and/or attend meetings.

· Monday through Friday 8am until 5pm

· Occasional abnormal hours are expected and required during peak times or urgent need situations.

 

TRAVEL 

· Occasional travel within and out of the metropolitan area may be required.

WORKING CONDITIONS & PHYSICAL DEMANDS

· This position is relatively free from unpleasant environmental conditions or hazards and minimal physical effort. Incumbents may be required to exert up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and/or up to 10 pounds of force constantly having to move objects.
