SHIPPING & RECEIVING CLERK
Death Valley Harley-Davidson
Department: Operations / Parts & Service
Reports To: General Manager / Operations Manager
Employment Type: Full-Time
POSITION SUMMARY
The Shipping & Receiving Clerk is responsible for the accurate, organized, and timely receipt, inspection, processing, storage, and distribution of motorcycles, parts, accessories, merchandise, and other dealership inventory. This position plays an important role in maintaining accurate inventory records and ensuring that products move efficiently from receiving to the appropriate department.
The ideal candidate is organized, dependable, detail-oriented, physically capable, and able to work in a fast-paced dealership environment. The Shipping & Receiving Clerk must take ownership of the receiving area, maintain a clean and organized workspace, and ensure that all incoming and outgoing shipments are handled accurately and professionally.
KEY RESPONSIBILITIES
SHIPPING & RECEIVING
Receive incoming shipments from Harley-Davidson Motor Company, parts suppliers, accessory vendors, freight carriers, and other vendors.
Inspect shipments for accuracy, damage, shortages, and discrepancies before accepting or distributing merchandise.
Verify packing slips, purchase orders, invoices, and shipment contents to ensure all items received are accounted for.
Properly process incoming inventory through the dealership's inventory and computer systems.
Distribute received parts, accessories, merchandise, and supplies to the appropriate departments promptly.
Prepare and package outgoing shipments accurately and securely.
Coordinate freight pickups and deliveries as necessary.
Maintain accurate documentation for incoming and outgoing shipments.
MOTORCYCLE RECEIVING & HANDLING
Assist with the receiving and movement of new and pre-owned motorcycles throughout the dealership.
Inspect motorcycles upon arrival for visible damage, missing equipment, or discrepancies and immediately report any issues to management.
Assist with unloading motorcycles from transportation when required.
Safely move motorcycles between receiving areas, showroom, service department, storage areas, and delivery areas.
Ensure motorcycles are properly secured and handled to prevent damage.
Assist with preparing motorcycles for the showroom, service department, customer delivery, transportation, or other dealership needs.
Motorcycle safety and proper handling procedures must be followed at all times.
INVENTORY CONTROL
Maintain accurate records of received merchandise and inventory.
Ensure parts and merchandise are properly labeled, organized, and stored.
Assist with regular inventory counts and physical inventory audits.
Identify and report discrepancies, damaged merchandise, missing items, or inventory errors to management.
Help maintain proper organization of the receiving area, warehouse, parts department, and designated storage areas.
Prevent unnecessary inventory loss through proper documentation, organization, and handling procedures.
PARTS & ACCESSORIES
Receive and process Harley-Davidson Genuine Parts & Accessories and other dealership merchandise.
Verify quantities and part numbers against receiving documents.
Route parts and accessories to the appropriate location or department.
Assist Parts and Service personnel in locating received items when necessary.
Maintain an organized receiving and storage area so merchandise can be located quickly and efficiently.
DEALERSHIP SUPPORT
Work closely with the Parts, Service, Sales, MotorClothes, and Management teams to ensure products and inventory are delivered to the correct department.
Assist departments with locating inventory and receiving-related questions.
Communicate shipment discrepancies, damages, delays, and other issues to management promptly.
Assist with dealership events, inventory moves, motorcycle deliveries, and other operational needs as assigned.
Maintain a professional and cooperative attitude when working with dealership employees, vendors, freight companies, and customers.
PHYSICAL REQUIREMENTS
The Shipping & Receiving Clerk must be capable of performing the physical duties associated with the position, including:
- Frequently standing and walking throughout the workday.
- Lifting, carrying, pushing, and pulling boxes and merchandise.
- Moving parts, accessories, equipment, and dealership inventory.
- Operating carts, dollies, pallet jacks, and other material-handling equipment as authorized.
- Safely maneuvering motorcycles when properly trained and authorized.
- Working indoors and outdoors in varying weather conditions.
- Maintaining a clean and organized receiving and storage environment.
QUALIFICATIONS
- Previous shipping, receiving, warehouse, dealership, parts, or inventory experience preferred.
- Motorcycle or automotive industry experience is a plus.
- Strong attention to detail and organizational skills.
- Ability to accurately read and interpret packing slips, invoices, purchase orders, and part numbers.
- Basic computer skills and ability to learn dealership inventory systems.
- Ability to work independently while also functioning effectively as part of a team.
- Strong communication skills.
- Reliable attendance and punctuality.
- Valid driver's license with an acceptable driving record.
- Ability to safely operate or learn to operate dealership equipment.
- Ability to safely handle and maneuver motorcycles after appropriate training.
