Summary/Objective  

The Group Events Manager is responsible for the daily management of the group events team and the successful coordination, planning, and execution of group events. This role provides hands-on leadership to a team of group event coordinators by assigning work, monitoring priorities, supporting training, and ensuring consistent follow-through on client and event details. The Group Events Manager helps maintain high service standards, supports strong communication across departments, and ensures events are delivered accurately, efficiently, and with a customer-focused approach. 


Duties/Responsibilities 


  1. Leadership & Team Development  
  • Direct the day-to-day work of group event coordinators, including assigning incoming leads, event files, follow-up tasks, and client communications based on workload and event complexity. 
  • Hold regular one-on-one and team check-ins to review active groups, upcoming deadlines, service issues, and coordinator performance needs. 
  • Maintain a daily and weekly priority list for the department, track completion of event details, and follow up with coordinators to ensure deadlines are met. 
  • Manage coordinator schedules, office coverage, event-day assignments, and peak-season workload planning to ensure adequate support for group business. 
  • Review group invoices, deposits, billing instructions, and accounting documentation for accuracy before submission or final processing. 
  • Lead routine team meetings to review upcoming events, group arrivals, contract changes, operational concerns, and cross-department communication needs. 
  • Audit event files and coordinator notes to confirm contracts, room blocks, tickets, menus, payment terms, special requests, and internal communications are complete and up to date. 
  • Verify that final event details are distributed to lodging, food and beverage, ticketing, transportation, operations, and other affected departments within established timelines. 
  • Review coordinator communications and event plans for accuracy, professionalism, and consistency with service standards before key client deadlines. 
  • Handle escalated client concerns, missed deadlines, event changes, or service recovery needs and determine the appropriate next steps with leadership when needed. 


  1. Cross-Department Collaboration
  • Ensure daily compliance with departmental policies and procedures while supporting clear communication between teams. 
  • Work with leadership to support group pricing, package details, and revenue-related processes as directed. 
  • Coordinate closely with the catering team to ensure event details are communicated clearly for execution. 
  • Collaborate with internal teams to align group event details, timelines, and operational needs. 
  • Maintain productive working relationships with internal partners, community contacts, and third-party vendors. 
  • Represent the organization professionally with clients, vendors, and community partners. 
  • Support department objectives by contributing to additional projects and responsibilities as needed. 


  1. Sales & Event Execution
  • Partner with Sales Leadership to support group and convention opportunities by providing event coordination and operational input. 
  • Assist with site visits, client presentations, and proposal details for group business as needed. 
  • Provide input on event feasibility, staffing, logistics, and service delivery to support successful execution. 
  • Provide direct oversight of assigned complex group events to ensure smooth delivery and client satisfaction. 
  • Serve as the primary point of contact for assigned clients during the planning and execution phases. 
  • Ensure assigned events are executed according to brand standards, client expectations, and operational requirements. 
  • Identify opportunities to improve the guest experience and support incremental revenue within group business. 
  • Support post-event reviews by gathering feedback, identifying issues, and recommending process improvements. 
  • Maintain strong relationships with repeat and high-value clients to support retention and future business growth. 
  • Represent TRMF at selected industry events and networking opportunities as assigned. Travel as needed. 


Supervisory Responsibilities

  • Directly supervises the group event coordinator team, including daily work direction, workload balancing, coaching, and follow-up on event files and client deliverables. 
  • Manages onboarding, training plans, performance feedback, recognition, corrective action, and staffing recommendations for coordinators in collaboration with supervisor and Human Resources.

Requirements

Required Skills/Abilities 

  • Excellent verbal and written communication skills. 
  • Ability to effectively listen, communicate, and perform diplomacy with internal and external customers and staff in all situations. 
  • Strong analytical skills and the ability to use data to inform decision making. 
  • Strong ability to prioritize, organize, and manage competing priorities. 
  • Possess well-developed leadership and critical thinking skills. 
  • Must be able to build and maintain business relationships. 
  • Knowledge of property management systems and ticketing software (Opera, eTix). 
  • Knowledgeable in all Microsoft Suite applications. 
  • Knowledge of CRM platforms (Salesforce). 
  • Effective system and process builder. 


Required Education and Experience

Minimum 3–5 years of experience in event management, hospitality, group sales, or group/convention services. 

Prior experience supervising, training, or coordinating the work of event staff or related team members preferred. 

Certified Meeting Professional (CMP) or similar industry certification preferred. 

Bachelor’s degree in hospitality, business, sales, marketing, or related field preferred. 

Demonstrated ability to coordinate and execute group events with attention to detail, service quality, and client satisfaction. 

Experience working with group sales teams and supporting convention or group business preferred. 

Knowledge of hospitality, guest service, event operations, and current group event trends preferred. 


Work Environment 

This position is in an office environment. Evenings, weekends, and holidays are required from April through October.

Must be able to lift to 25 lbs. or more at times.
