What your typical day will look like:
As an Executive Assistant to the CEO, you will provide high-level administrative and operational support while also helping turn business and operational data into clear, meaningful reports and presentations. You will work closely with the CEO and key stakeholders, to coordinate meetings, prepare reports and presentations, manage administrative requirements, and ensure smooth communication across internal and external stakeholders.
Other responsibilities include:
Executive & Business Support
- Provide day-to-day executive and administrative support to the CEO and key members of the leadership team.
- Prepare materials, reports, presentations, and other documents required for weekly and monthly business meetings.
- Consolidate operational and business data from different sources and turn it into clear, management-ready reports.
- Generate graphs, dashboards, and visual presentations using Excel and other relevant tools.
- Analyze data to identify trends, patterns, and key observations that can be translated into meaningful business insights.
- Ensure reports and presentation materials are accurate, well-organized, and delivered within agreed timelines.
Data & Reporting
- Manage and organize operational data and performance information.
- Use Excel to analyze data, generate trends, create charts/graphs, and present findings in a clear and concise manner.
- Translate operational outputs into business insights and recommendations.
- Develop recurring weekly and monthly reports and continuously improve reporting formats and processes.
- Ensure consistency and accuracy of data presented to senior leadership.
Meeting & Stakeholder Coordination
- Coordinate weekly and monthly meetings, including scheduling, agenda preparation, materials, and follow-ups.
- Properly coordinate with internal and external stakeholders to ensure timely completion of requirements.
- Track action items and follow up with relevant stakeholders when necessary.
- Serve as a reliable point of coordination between the CEO, leadership team, employees, and external partners.
Office & Administrative Support
- Provide general office and administrative support to the CEO and leadership team.
- Assist with documentation, scheduling, correspondence, and other administrative requirements.
- Support logistical arrangements for meetings, events, and business activities as needed.
- Assist with travel arrangements such as flight and venue bookings when required.
A bit about you:
- 3–5 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or similar role, preferably supporting senior executives or leadership teams.
- Strong proficiency in Microsoft Excel, including the ability to analyze data, identify trends, and create charts and graphs.
- Strong PowerPoint/presentation skills, with the ability to turn data into clear and professional business presentations.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Strong stakeholder management and coordination skills.
- Business-oriented and able to understand the context behind operational data.
- Proactive, resourceful, and comfortable working with senior stakeholders.
