The Operations Administrator, Singapore provides a broad range of operational, administrative, and project coordination support to the Singapore and Asia Pacific Region program. The role supports business operations across multiple functional areas, including office operations, executive administration, meetings and events management, travel coordination, procurement, expense administration, Workday support, and HR-related processes.
Working closely with regional leadership, employees, vendors, and partner functions, the Administrator coordinates day-to-day operational activities, implements established processes, maintains accurate records, and supports efficient delivery of business operations across Asia Pacific. The role serves as a key resource for staff by providing guidance on organizational policies, systems, and administrative procedures. This position requires strong organizational skills, attention to detail, discretion in handling confidential information, and the ability to manage multiple priorities in a dynamic environment.
ESSENTIAL FUNCTIONS
Operations and Office Management
- Coordinate day-to-day office operations and administrative procedures for the Singapore office.
- Serve as a primary point of contact for facilities management, office equipment, supplies, courier services, vendors, and visitors.
- Support business continuity, workplace safety, and office administration initiatives.
- Maintain operational records, inventories, documentation, and filing systems.
- Identify and implement improvements to administrative and operational processes.
- Maintain the Singapore Business Unit Handbook.
- Serving as an information conduct across departments and TNC offices.
Executive and Administrative Support
- Provide administrative support to designated team leaders, including calendar management, meeting scheduling, travel coordination, and correspondence support.
- Coordinate logistics for internal and external meetings, workshops, and board-related activities as required.
- Prepare meeting materials, presentations, reports, and supporting documentation.
- Assist in maintaining records and tracking action items arising from meetings and projects.
Travel and Expense Administration
- Coordinate domestic and international travel arrangements, including flights, accommodation, visas, travel insurance, and itineraries.
- Support staff with expense reimbursement submissions and corporate card reconciliations.
- Review expense claims and expense reports for completeness and policy compliance prior to approval.
- Provide guidance and training on organizational travel and expense procedures.
- Maintain accurate supporting documentation for travel and expense administration.
Workday and Business Systems Support
- Provide first-level support and guidance to employees on Workday transactions and processes.
- Assist with onboarding, organizational updates, business process routing, position-related administration, and maintenance of employee data where appropriate.
- Support managers and employees with Workday activities and reporting requests.
- Assist with data validation, report generation, and maintenance of operational records to support management decision-making.
- Coordinate with HR, Finance, and other system owners to resolve routine workflow or data issues.
Human Resources Administration
- Coordinate employee onboarding and offboarding activities in partnership with HR.
- Support employee benefits administration and local employment-related processes.
- Assist with orientation activities and employee training coordination.
- Provide guidance on administrative requirements, policies, and procedures.
Procurement and Vendor Coordination
- Assist with purchasing activities, vendor onboarding, contract administration, and invoice processing.
- Coordinate with Finance, Legal, and Procurement teams to facilitate contract review and compliance requirements.
- Monitor vendor documentation and maintain procurement records.
- Support budget tracking and financial administration activities.
Meetings and Events Management
- Plan and coordinate internal meetings, workshops, staff retreats, conferences, and special events.
- Manage venue sourcing, registration processes, catering, transportation, and vendor coordination.
- Negotiate with service providers and support budget management for events.
- Ensure smooth delivery of event logistics and participant experience.
RESPONSIBILITIES AND SCOPE
- Work independently on assigned activities and exercise sound judgement within established guidelines.
- Coordinate projects and activities involving multiple stakeholders, timelines, and priorities.
- Maintain confidentiality when handling sensitive employee, financial, and organizational information.
- Generate reports, analyze data, and provide administrative recommendations to improve efficiency.
- Ensure compliance with TNC policies, procedures, and applicable legal and regulatory requirements.
- Assist with budget administration, purchases, invoices, expense claims, and vendor payments.
- Provide training and guidance to staff on administrative systems and processes.

What You’ll Bring:
Associates Degree plus 1-year experience or equivalent combination.
Experience managing diverse activities to meet deadlines.
Experience providing administrative support, including some or all the following; phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, or organizing files.
Experience working and communicating with a wide range of people.
Experience writing, editing, and proofreading written materials.
Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, Teams, Copilot and SharePoint
Desired Qualifications:
Experience supporting regional or multinational organizations.
Experience using Workday, Concur, or similar enterprise systems.
Experience coordinating meetings, events, procurement, travel, and expense administration.
Strong customer service orientation and stakeholder management skills.
Ability to analyze information and recommend process improvements.
Strong organizational skills, accuracy, and attention to detail.
Ability to manage multiple competing priorities with minimal supervision.
Multicultural or cross-cultural experience preferred.
