Fleet Coordinator
Watson Civil Construction is a leading heavy civil construction company dedicated to delivering high-quality infrastructure projects throughout Florida, including FDOT projects, large site infrastructure, underground utilities, roadway construction, and site development work. With a strong reputation for excellence and continued growth, we are seeking a detail-oriented and organized Fleet Management Coordinator to support our company.
Under the direction of the Risk & Fleet Manager, the Fleet Coordinator is responsible for supporting the day-to-day operations, performance, and technology systems of the company's vehicle and equipment fleet. This position combines fleet operations support, equipment tracking, data analysis, technology installation coordination, and telematics troubleshooting.
The ideal candidate is technically inclined, analytical, organized, and comfortable working directly with drivers, vendors, fleet management companies, and internal departments. A major focus of this role is ensuring that telematics and other vehicle or equipment mounted technology is properly installed, functioning correctly, and producing accurate and useful fleet data.
Essential Duties and Responsibilities
Fleet Telematics
- Serve as a primary internal resource for fleet telematics installation and connected technology used on vehicles and equipment, including coordination, configuration, and ongoing system administration.
- Monitor GPS/telematics devices, vehicle gateways, cameras and dash cameras, driver identification devices, and other connected hardware to confirm accurate reporting of location, mileage, engine hours and data, assignments, and status.
- Troubleshoot device, wiring and power, OBD-II and diagnostic connection, cellular connectivity, software, mobile application, and configuration issues.
- Track offline, malfunctioning, or incorrectly assigned devices through resolution; coordinate with telematics providers, installers, vendors, and technical support teams, and assist drivers and field personnel as needed.
- Analyze fleet and telematics data, including mileage, idling, fuel efficiency, driver behavior, safety events, maintenance, and operating costs. Develop reports that help management identify trends, underutilized assets, and opportunities for improvement.
Fleet Maintenance and Operations
- Coordinate day-to-day fleet operations support, serving as a point of contact for employees on fleet-related questions, tracking open items, and escalating concerns when needed.
- Maintain accurate vehicle and equipment inventory and assignment records; including asset details, specifications, assigned driver and project, location, usage, status, and availability.
- Promptly update all fleet and telematics systems when personnel assignments change as applicable.
- Coordinate and assist vehicle and equipment ordering or acquisition, delivery, upfitting, initial assignment, transfer, replacement, and disposal.
- Coordinate preventive maintenance and repairs for vehicles.
- Review service recommendations and estimates, verify parts, labor, and warranty needs, follow downtime through return to service, and escalate cost or availability issues.
- Apply a working knowledge of light-duty vehicles, medium- and heavy-duty trucks, trailers, construction equipment, common parts and repairs, manufacturer specifications, capacity, and upfitting requirements when coordinating fleet needs.
- Track construction equipment and trailers by job site, type, use, assigned project, availability, status, and engine hours.
- Coordinate with fleet management companies, dealerships, repair facilities, upfitters, parts suppliers, and equipment vendors.
- Assist with the fuel card system, including monitoring fuel use, transactions, and investigating discrepancies of potential misuse.
- Perform other duties as assigned by the Risk & Fleet Manager and/or company leadership.
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree in Business, Information Technology, Automotive Technology, Fleet Management, Data Analytics, or a related field preferred.
- Minimum of two (2) years of experience in fleet operations, fleet technology, telematics, automotive technology, technical support, data analysis, or a related position preferred.
- Experience with fleet management, preventive maintenance and repair coordination, fuel management, vehicle and equipment tracking, telematics platforms and hardware, GPS and camera systems, equipment installation, upfitting, or other vehicle-mounted technology preferred.
- Working knowledge of light-, medium-, and heavy-duty vehicle types, construction equipment, common parts and repairs, vehicle and equipment specifications, and upfitting preferred.
- Excellent written and verbal communication, interpersonal, and time-management skills.
- Strong attention to detail and accuracy in recordkeeping and data entry.
- Ability to communicate technical issues clearly to drivers, management, vendors, and technical support personnel.
- Ability to manage multiple open issues and follow them through completion.
- Ability to work independently and collaboratively in a fast-paced construction environment.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
