Job Description:
RegistrarActs as initial contact for patients presenting to the Bay Area Hospital. Performs registration functions, including updating demographics, verifying insurance coverage, obtaining consent signatures, discussing financial arrangements and collecting payments from patients.EXPECTATION FOR ALL EMPLOYEES

POSITION SUMMARY
Acts as initial contact for patients presenting to the Bay Area Hospital. Performs registration functions, including updating demographics, verifying insurance coverage, obtaining consent signatures, discussing financial arrangements and collecting payments from patients.
PRINCIPLE DUTIES AND RESPONSIBILITIES
- Performs quick registration, discharge, and back-house functions, based on emergency department workflow requirements
- Ensures accurate identification of each patient by searching the hospital system according to department standards/policy in order to support patient safety and prevent duplicate medical records
- Registers trauma and code patients in accordance with hospital and departmental policies
- Registers and/or pre-admits patients, updates status, and collects all necessary signatures and information; provides notice of non-coverage/waivers and consents
- Maintains performance standards appropriate to area by obtaining account benefits or verifying authorizations are in place for all scheduled and/or unscheduled patient accounts
- Coordinates information sharing with police, EMS, fire department and other agencies
- Coordinates and communicates professionally with ED clinical staff, including nurses and physicians
- Collects pertinent data on patients, such as test, exam, services, diagnoses, demographic and insurance information, as required per registration type
- Verifies insurance eligibility, coverage, benefits, and authorizations
- Verifies patient identity, copies and scans required documents, including, but not limited to, ID card, insurance card, referrals, physician orders
- Determines patient financial liability and counsels regarding payment arrangements, hospital bill reduction and collects payments
- Explains rates, charges, services, discounts, contracts and hospital charity and financial assistance policies regarding payment of bills to patients and families
- Checks in scheduled patients in appropriate scheduling solution
- Collects & receipts patient payments in accordance with departmental policy
- Performs bed-side registration and/or in-house rounding, as needed, to fully register patients
- Ensures all appropriate information is documented on account notes, clearly, accurately, precise, and standardized as established by department leadership
- Provides and promotes professional, efficient and congenial customer service through all communication and interaction with patients, clients, guests, co-workers, physicians and their office staff and with the public, both in-person, on the phone and via email
- Greets, assists and directs incoming patients, visitors, physicians and staff; providing directions and wayfinding cards as appropriate
- Processes telecommunication activities through the communication systems in a pleasant, courteous, prompt, complete and accurate manner according to approved policies and procedures
- Understands emergency systems; i.e., fire, security, disaster, and in-house emergencies and responds appropriately
- Utilizes electronic systems necessary for job functions
- Communicates effectively with other hospital departments as needed, including notification of patient arrivals
- Responsible for receipt and recording of patient valuables in accordance with departmental policies
- Complies with Health Insurance Portability and Accountability Act (HIPAA) and Bay Area Hospital guidelines
- Complies with Emergency Medical Treatment and Active Labor Act (EMTALA) guidelines
- May call patients being admitted to the hospital prior to the admission date, as needed
- Assists with reports and projects to maintain team and individual goals for department
- Maintains current knowledge of third party payer guidelines and insurance contracts and performs follows-up with insurance carriers in appropriate manner and time frame
- Proficient in all department downtime procedures
- Assists in training staff
- Processes telecommunication activities through the communication systems in a pleasant, courteous, prompt, complete and accurate manner according to approved policies and procedures
- Monitors all alarm systems in the switchboard center and notifies appropriate personnel or response team according to approved policies and procedures
- Receives incoming calls through the telephone system and directs, transfers, or records messages related to those calls as required by hospital and departmental policies
- Notifies other operators of all unfinished work and any unusual situations, before leaving shift. Cleans and sanitizes work station prior to leaving
- Maintains accurate reporting logs for various functions. (ie daily census, code logs, and end of month)
- Familiar with and knowledgeable of all emergency codes announced over the PA system and announces in a clear, concise and timely manner
- Monitor’s security cameras, notifies security and makes appropriate announcements regarding security alarm activations and codes
- Understands emergency systems; i.e., fire, security, disaster, in-house emergencies, and downtime procedures and responds appropriately
- Maintains personal ownership of switchboard job functions while working on assigned shift, ensuring that the switchboard console is never left unattended and maintaining open communication with shift lead
- Documents employee call outs and follows process and procedure for replacing shift, based on seniority
- Performs other duties as assigned
SKILLS AND ABILITIES
- Ability to maintain professional composure while interacting with patients in various physical and mental states, bodily fluids,
- Ability to read, write legibly, and converse effectively in the English language
- Demonstrates ability to work with various machines and equipment, including but not limited to: computers, answering service, radio paging system, telephone console, fax machine, back-up equipment, mobile base station, and laser printer as applicable to position
- Exhibits the ability to deal effectively interdepartmentally & with the public
- Exhibits the ability to maintain confidentiality, think and act independently with minimal supervision
- Ability to navigate and utilize web browsers, Microsoft Outlook, Word, Excel, and other software applicable to position
- Maintains regular, consistent and punctual attendance at the assigned job location
- Ability to respond quickly and think clearly in high pressure scenarios to meet the ever changing needs within the department
- Types over 25 words per minute
EDUCATION/CERTIFICATIONS/LICENSES/DEGREES
- High school graduate or equivalent required
EXPERIENCE
- One year experience in healthcare Patient Financial Services, Patient Access, customer service or related area (registration, finance, collections, customer service, medical office, or contract management) preferred
- Prior customer service experience preferred
