JOB SUMMARY
The Facilities Coordinator is responsible for coordinating the daily activities of the City’s Facility Maintenance Services Department under the direction of the Facility Maintenance Manager.
ESSENTIAL DUTIES
- Provides assistance to the general public and city staff related to Facilities Services and overall departmental operations in a timely manner.
- Works in coordination with all City Departments.
- Create, monitor and update work orders.
- Perform monthly and yearly inventory.
- Handles all aspects of purchasing for the department.
- Coordinates with Finance on budget line item coding.
- Coordinates Facility Projects working with the Facilities Manager and other Facilities staff.
- Responsible for ensuring Grounds and Building maintenance.
- Assist with yearly audit
- Time management for departmental payroll.
- Performs other related duties as assigned.
MINIMUM QUALIFICATIONS
Knowledge of:
- Methods, materials and tools used in the maintenance and repair of Buildings and Facilities.
- Modern office practices, procedures and related equipment commonly used in an office environment.
- Microsoft Office suite applications (Word, Excel, Outlook).
Ability to:
- Coordinate many different tasks and determine the relative importance of each to set deadlines and complete assigned tasks accordingly;
- Prepare and present accurate and reliable reports containing findings and recommendations;
- Quickly and effectively reschedule and distribute work assignments to meet shifts in work priorities;
- Learn, independently interpret and apply a variety of complex organizational policies, procedures and protocols;
- Apply sound judgment, discretion and initiative in performing daily duties with minimal direct supervision;
- Establish, format and prepare a variety of correspondence and reports as required;
- Interact courteously and diplomatically in the exchange of information with customers and maintain effective working relationships with municipal officials and other employees;
- Lift and carry a minimum of 30lbs without assistance;
- Safely perform all essential job duties.
Experience and Education: Any combination equivalent to the level of experience and education that would likely provide the required knowledge and abilities will qualify.
Experience:
- Previous work experience performing related clerical duties.
Education:
- High school diploma or GED required.
- Previous formal training and/or education in office management or administration is desirable.
Licenses/Certifications:
- Valid Class “C” Driver License required.
ENVIRONMENTAL FACTORS
The duties of this position are primarily performed in a standard office setting, which may require that the incumbent be capable of remaining seated for extended periods. Incumbents assigned to this position should be physically capable of lifting, carrying and setting down objects weighing up to 50lbs without assistance. Additionally, incumbents assigned to this position should be physically capable of bending, stooping, kneeling and reaching above shoulder height when retrieving and/or placing materials on high shelves and/or other low-level storage areas. This is a FLSA Non-Exempt position and incumbents assigned to this position should be available to work evenings, weekends and holidays as required.
