Commercial Support Specialist | Cruise & Energy Transition

About the Role
We are seeking a highly organized and customer-focused Sales Support Specialist III to support our global Cruise & Energy Transition business from our San José office.
In this role, you will serve as a key liaison between Commercial, Finance, Operations, Supply, Compliance, and customer teams to ensure the accurate and timely execution of commercial support activities. You will help manage customer onboarding, contract administration, invoicing, payment follow-up, reporting, and issue resolution while supporting some of the world's largest cruise customers.

What You'll Do
Commercial Support & Customer Coordination
- Support the Cruise & Energy Transition commercial team in managing a global portfolio of strategic customer accounts.
- Coordinate activities between Commercial, Operations, Finance, Credit, Supply, Customer Service, and Compliance teams to support customer commitments and service levels.
- Assist with the administration of customer contracts and purchase order instructions.
- Support growth initiatives by helping onboard new customers and supporting expanding customer requirements.
- Ensure customer requests, action items, and commercial commitments are tracked and completed.
Billing, Invoicing & Payment Support
- Serve as a primary contact for billing-related inquiries and payment follow-up activities.
- Monitor customer payment status and communicate directly with customer purchasing and finance contacts regarding outstanding items.
- Coordinate invoice corrections, amendments, and resubmissions as required.
- Investigate and help resolve customer billing discrepancies.
- Partner with Finance and Commercial teams to ensure timely invoicing and cash collection activities.
Contract & Pricing Administration
- Maintain future delivery schedules and purchase order instructions.
- Review contract pricing and commercial information for accuracy.
- Identify potential billing, pricing, or margin discrepancies and coordinate appropriate resolution.
- Support internal recovery processes related to pricing and margin variances.
- Maintain organized and accurate commercial records and contract documentation.
Customer Onboarding & Compliance
- Coordinate new customer onboarding activities from initiation through commercial readiness.
- Manage documentation requirements including NDAs, customer forms, corporate documents, and KYC requirements.
- Partner with Compliance and KYC teams to ensure onboarding activities are completed accurately and efficiently.
- Coordinate setup and maintenance of customer billing and commercial platforms.
Reporting & Performance Tracking
- Prepare and distribute contract utilization and performance reports.
- Monitor contract volumes and identify utilization trends or potential risks.
- Support customer business reviews through reporting and administrative coordination.
- Maintain sales support dashboards, trackers, and reporting tools.
- Assist with identifying process improvement opportunities and operational efficiencies.
Documentation & Issue Resolution
- Coordinate customer requests involving marine fuel delivery documentation and contract-related records.
- Work with internal stakeholders to obtain corrected documentation and resolve issues promptly.
- Ensure contract files, supporting records, customer correspondence, and pricing documentation remain current and accurate.
What We're Looking For
Required Qualifications
- Bachelor's degree in Business, Finance, Economics, Supply Chain, Maritime Studies, Logistics, or a related discipline.
- 5+ years of experience in commercial operations, customer support, finance operations, supply chain, logistics, maritime, or a related environment.
- Experience supporting contracts, invoicing, payments, pricing, customer onboarding, or commercial administration processes.
- Strong analytical and problem-solving skills.
- Advanced Microsoft Excel proficiency.
- Excellent organizational and communication skills.
- Professional fluency in English and Spanish.
- Ability to manage multiple priorities and stakeholders in a fast-paced international environment.
Preferred Qualifications
- Experience supporting cruise, marine, shipping, logistics, energy, fuel, or commodities businesses.
- Experience working with customer portals, commercial systems, or order management platforms.
- Knowledge of marine fuel delivery processes and commercial documentation.
- Experience working across multiple regions and time zones.
- Exposure to KYC, compliance, customer onboarding, or trade support processes.
