Safety Manager

Description

  Position Summary: The Safety Manager provides administrative and operational support across driver onboarding, workforce compliance, and safety initiatives. This position plays a key role in coordinating the Driver workforce training, maintaining required compliance documentation for all driving positions, conducting Road Tests, supporting safety training and related initiatives, and receiving incident notifications, completing investigations, and hosting incident review calls to determine next steps and preventability. Conduct driver, delivery, and vendor observations.

Key Duties and Responsibilities: 

Driver Onboarding

• Coordinate the administrative components of the Driver onboarding process from conducting the Road Test, adding the driver in all systems, and completing the New Hire Safety Orientation training.
• Maintain accurate and organized onboarding and compliance records in applicable systems.
• Help ensure the Drivers have completed all the required safety related onboarding steps before being released to Operations.

Driver Compliance

• Assist in managing Fleetworthy compliance requirements for designated driving positions.
• Monitor documentation, expirations, outstanding items, and compliance-related requirements and follow up with employees and management as needed.
• Maintain accurate records and escalate missing, expired, incomplete, or potentially non-compliant documentation to the Director of Safety and Compliance.
• Assist with compliance audits, reporting, record retrieval, and documentation requests as needed.
• Maintain confidentiality and appropriate handling of employee and driver information.

Safety & Training

• Ability to make safety information understandable, practical, and engaging.
• Provide administrative and coordination support to the Safety team.
• Assist with scheduling, communicating, tracking, and documenting required safety training and related activities.
• Develop and maintain associate safety training.
• Identify training gaps based on inspections, incidents, audits, and employee performance.
• Conduct new hire and reoccurring training with associates at all levels of the organization.
• Prepare training materials, attendance records, rosters, acknowledgments, and other safety documentation as requested.
• Update training materials when regulations, equipment, processes, or company      procedures change.
• Train employees on PPE, hazard communication, emergency procedures, ergonomics, fall protection, lockout/tagout, powered industrial trucks, and other applicable topics.

Requirements

General Duties

• Maintain organized electronic and/or physical records in accordance with Company recordkeeping  practices.
• Lead incident, injury, near-miss, and incident investigations.
• Prepare routine reports, trackers, spreadsheets, and status updates related to assigned  responsibilities.
• Respond to internal inquiries and coordinate follow-up with the appropriate department or leader.
• Monitor compliance with company safety policies and regulatory requirements.
• Identify missing information, approaching deadlines, or administrative process gaps and proactively  facilitate resolution.
• Conduct driver, pick-up and delivery inspections and observations at the customer locations, stores, and vendors.
• Track corrective actions and follow up to ensure completion.
• Create Safety Alerts and Regulatory messages for the organization.
• Support special projects and other workforce, recruiting, safety, and compliance initiatives as assigned.
• Perform other duties reasonably related to the position as business needs require.
• Maintain Safety Data Sheets (SDS) and chemical safety information.

General Qualifications

• High school diploma or equivalent.
• Minimum of 1 year of Safety, Compliance, DOT, OSHA, Transportation, and related experience.
• Strong organizational skills and attention to detail.
• Ability to explain safety requirements clearly to both employees and executives.
• Ability to investigate accidents, incidents, near misses, and injuries.
• Ability to manage multiple  priorities, deadlines, and follow-up items simultaneously.
• Strong written and verbal communication skills.
• Ability to maintain confidential  and sensitive employee information.
• Preferably holds a valid CDL (Class A License)
• Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
• Ability to learn and effectively use applicant tracking, compliance, and other workforce management  systems.
• Ability to work effectively and  professionally with all levels of staff with the customers and the  organization.
• Experience with Samsara, Fleetworthy, Drivewyze, Luma, Fleetio, Truckpedia, and similar systems preferred.
• Ability to work long hours, flexible shifts, weekends, and holidays.
• Experience coordinating employee or driver onboarding.
• Strong knowledge of DOT and FMCSA  rules related to Driver HOS.
• Ability to influence employees and management even when you   don't directly supervise them.
• Familiarity with Driver Qualifications files, safety training, and transportation   compliance processes.
• Strong administrative coordination and follow-through.
• High level of accuracy and attention to detail.
• Ability to recognize missing or inconsistent documentation and escalate concerns appropriately.
• CPR/First Aid certification may be required or preferred.
• Ability to work independently while knowing when to involve Safety & Compliance, People &  Culture, or management.
• Strong customer-service orientation and professional communication skills.
• Ability  to prioritize effectively in a fast-paced environment where operational needs and deadlines may change quickly.
• Ability  to maintain accurate records and handle confidential information with discretion.
• Ability  to create and present training materials in PowerPoint and Word in front of groups of people at all levels of the organization.
