Description
Be the one building AI-powered experiences where they matter most.
At Genesys, we help organizations create better customer experiences through AI-powered experience orchestration. Our platform connects people, systems, data and AI to help organizations deliver more personalized service, improve operational efficiency and build stronger customer relationships.
Help build, support and operate technology used by more than 8,000 organizations in over 100 countries – moving AI from possibility to production in real-world enterprise environments every day.
The Facilities Coordinator helps ensure the Genesys R&D office in Durham operates as a reliable, welcoming, safe, and high-performing workplace where employees, visitors, and business partners can do their best work. This on-site role owns established day-to-day Facilities coordination across workplace operations, hospitality, vendor services, physical security support, sustainability, and administrative and financial processes.
Partnering closely with the Facilities Manager, this role serves as a key connection point between employees, property management, service providers, and internal teams. You will independently resolve routine workplace needs, coordinate vendors and services, maintain operational standards, and escalate risks or complex issues when appropriate.
Your work will directly influence employee experience and office readiness by keeping spaces functional, meeting rooms prepared, hospitality services dependable, and Facilities requests moving efficiently from identification through resolution. You will also help strengthen workplace sustainability by supporting waste reduction, environmental data collection, responsible procurement, and applicable environmental and EHS initiatives.
The role provides broad exposure to Facilities operations and cross-functional initiatives, with opportunities to expand expertise in workplace experience, vendor management, sustainability, life safety, budgeting, and Facilities technology. At Genesys, collaboration, empathy, and thoughtful innovation shape how teams work together to create better experiences for employees and the customers they support.
Key Responsibilities:
- Own day-to-day Facilities coordination for the Durham office, maintaining a functional, safe, welcoming, and consistently high-quality workplace
- Conduct routine workplace walkthroughs to proactively identify maintenance, cleanliness, safety, supply, equipment, and workplace experience issues before they disrupt employees or visitors
- Drive Facilities work orders and service requests through ServiceNow or applicable systems from initiation through resolution, maintaining clear communication with employees and Facilities leadership
- Coordinate property management, maintenance, janitorial, catering, and other approved service providers to deliver timely, reliable services that meet workplace standards
- Monitor vendor performance, service schedules, preventive maintenance, repairs, inspections, contracts, and documentation, escalating significant service, cost, contract, or performance risks to the Facilities Manager
- Maintain accurate Facilities records, preventive maintenance schedules, service reports, inspection records, equipment information, vendor documentation, and other operational records
- Drive workplace hospitality by maintaining appropriate inventory levels for office, kitchen, pantry, and hospitality supplies and coordinating food, beverage, catering, and event services
- Coordinate Facilities logistics for leadership visits, client meetings, employee events, office celebrations, and large meetings, ensuring spaces, hospitality, AV/IT coordination, and other support are ready
- Maintain workplace standards across kitchens, pantries, meeting rooms, restrooms, common areas, flooring, and other office spaces by monitoring janitorial services and ensuring corrective actions are completed
- Support employee and visitor access processes, parking, lockers, desk or hoteling systems, physical security procedures, and the timely escalation of access control, secured door, camera, or related security issues
- Support emergency preparedness, drills, training, life-safety requirements, and routine workplace hazard identification to strengthen site readiness and employee safety
- Champion practical sustainability initiatives, including recycling, composting, waste reduction, responsible procurement, green cleaning practices, and employee engagement
- Maintain site-level electricity, water, waste, recycling, composting, utility, and vendor data needed for corporate environmental reporting, ISO 14001 activities, and applicable EHS initiatives
- Support annual Facilities budgets, forecasting, invoice and purchase order processing, expense tracking, cost comparisons, and variance identification to improve financial visibility and control
- Leverage Excel, Word, PowerPoint, Outlook, Smartsheet, ServiceNow, AI productivity tools, and other company systems to maintain accurate records, coordinate work, and communicate operational information
- Identify recurring workplace issues, service gaps, deferred maintenance, unnecessary purchasing, and opportunities to improve efficiency, sustainability, employee experience, and office performance
- Support local, regional, and global Facilities projects and initiatives, building broader exposure to workplace operations and enterprise Facilities programs
Required Qualifications:
- 4+ years of relevant experience in Facilities, Workplace Operations, Corporate Hospitality, Office Coordination, Property Management, or a related field
- Experience coordinating vendors, contractors, maintenance services, hospitality, or workplace services in a professional environment
- Experience supporting Facilities budgets, purchase orders, invoices, expense tracking, and related financial administration
- Experience coordinating meetings, events, leadership visits, or workplace hospitality activities
- Strong customer service orientation with demonstrated ability to create a professional and positive experience for employees, visitors, and business partners
- Strong organizational, planning, prioritization, and follow-through skills, with the ability to manage multiple priorities in a dynamic workplace
- Demonstrated ability to independently manage established day-to-day responsibilities, identify problems, determine appropriate next steps, and escalate issues when necessary
- Strong written and verbal communication skills with the ability to build effective professional relationships across employees, leadership, property management, vendors, and external partners
- Strong attention to detail and demonstrated judgment when handling confidential or sensitive information
- Proficiency with Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook
- Ability to read, write, and communicate fluently in English
- Ability to regularly move throughout the office, including walking and standing, perform periods of computer-based work, and move or lift workplace supplies and materials weighing up to approximately 30 lbs., with or without reasonable accommodation
Preferred Qualifications:
