We are seeking a detail-oriented Payroll Specialist to support accurate, timely payroll and provide responsive service to our employees. Working closely with the Human Resources Manager, this person will manage routine payroll preparation, validate timecards, resolve discrepancies, and maintain reliable payroll records.
This role is an important part of strengthening our payroll controls and creating additional capacity for the existing Human Resources Department to support employees. The ideal candidate is comfortable working with managers and superintendents to confirm accurate time and pay information, reviewing timecards, and processing payrolls including Certified Payroll.
Key Responsibilities
Payroll Processing and Timekeeping
- Validate hours for hourly and salaried employees; Prepare and process four weekly payrolls through the company’s payroll system using established review and approval procedures.
- Review timecards for missing punches, duplicate entries, overtime, location exceptions, and other inconsistencies; coordinate with employees and supervisors to confirm hours while meeting weekly deadlines
- Complete documented time corrections and pay adjustments, track unresolved items, and escalate significant or recurring discrepancies to the HR Manager.
- Process approved supplemental payments, final pay, manual checks, reversals, stop payments, and check reissues as needed.
- Reconcile PTO and sick time requests, balances, and payroll entries to identify discrepancies and prevent duplicate or inaccurate payments.
- Maintain approved pay rates and payroll changes; administer authorized deductions, withholding updates, and garnishments in coordination with the payroll provider.
- Work closely with Finance to provide payroll reporting as needed
Payroll records and employee support
- Respond professionally to employee questions about hours, paychecks, deductions, and payroll corrections; research issues and communicate resolution clearly.
- Coordinate final paychecks and other special payments with the HR Manager and payroll provider.
- Support year-end payroll reconciliation, W-2 review, distribution, and corrections in coordination with the payroll provider.
- Validate earnings, overtime, paid leave, bonuses, commissions, retroactive adjustments, and other authorized payments before submission.
- Administer authorized benefit deductions, retirement contributions, wage garnishments, and other withholding transactions.
- Review payroll tax setup and withholding information; coordinate corrections with the payroll provider or responsible internal team.
- Apply applicable federal, state, and local payroll requirements and established company policies; escalate complex questions to the appropriate specialist.
- Maintain complete, organized payroll records and supporting approvals while protecting confidential employee and company information.
- Assist with payroll reports, reconciliations, audits, and requests from HR, accounting, and leadership.
Controls and Process Improvement
- Provide an additional review layer alongside manager and superintendent time approvals; document exceptions and follow up before payroll submission.
- Support multi-state and prevailing wage payroll workflows, including verification of approved rates and supporting records, under established procedures.
- Help document payroll procedures, maintain a processing checklist, and cross-train with the HR Manager to support coverage during absences.
- Assist with related HR and administrative projects as needed while maintaining payroll deadlines.
Qualifications
- Associate’s or Bachelor’s Degree in Accounting, Finance, Business or related field
- Two years of hands-on payroll experience, including payroll processing, timecard review, reconciliation, and employee support.
- Experience with Prevailing Wage and Certified Payroll is highly preferred
- Working knowledge of overtime calculations, payroll deductions, tax withholdings, and accurate payroll recordkeeping.
- Proficiency with payroll or HRIS platforms and Google Sheets, including sorting, filtering, formulas, and reconciling data.
- Strong attention to detail and the ability to investigate discrepancies, organize competing priorities, and meet recurring deadlines.
- Clear, professional communication skills and the ability to work effectively with employees, HR, accounting, and field leadership.
- Sound judgment, discretion, and a demonstrated commitment to confidentiality.
Schedule:
This position is full-time. In office availability is required. Working hours are Monday - Friday 8:30AM - 5:00PM.
Pay Range:
- Annual Salary Range: $60,000 - $75,000
