Description

Title:                          Associate Chief of Staff
Reports to:            Chief of Staff
Location:                Redwood City, CA
Classification:    Exempt

Overview:

The Associate Chief of Staff is a high-impact, hands-on role supporting the Chief of Staff and CEO across strategic priorities, Executive Office operations, executive communications and essential administrative support. The position offers broad exposure to the Company and senior leadership while building experience across strategy, operations, Board activities, investor relations and corporate finance.

The role will begin with a structured transition period before the Chief of Staff’s approximately three-month maternity leave. The Associate Chief of Staff will overlap with the Chief of Staff to build context, establish key relationships and complete a clear handoff, then assume expanded responsibility for continuity of Executive Office operations during the leave.

This is a permanent position reporting to the Chief of Staff. Following the leave period, the role will continue as a strategic partner and source of leverage to the Chief of Staff. It is designed as a growth opportunity, with the potential over time to move into a broader role in Commercial, Business Development, Investor Relations or Finance, based on performance, interests and business needs.

Essential Duties and Responsibilities:

Maternity Leave Transition and Coverage

  • Partner closely with the Chief of Staff before the leave to develop business context, establish relationships and complete a structured transition of priorities, processes and key stakeholder responsibilities.
  • During the approximately three-month leave, maintain the operating cadence of the Executive Office and coordinate CEO-facing priorities, critical meetings, communications and follow-up.
  • Prepare the CEO and senior leaders for key decisions and engagements through concise analyses, briefing materials, presentations, agendas and pre-reads.
  • Attend selected executive and cross-functional meetings; capture decisions, actions and owners; drive follow-through; and escalate sensitive issues appropriately.
  • Support a smooth return transition by maintaining clear documentation and preparing an effective handback of responsibilities and open items.

Executive Operations and Administrative Support

  • Manage scheduling for the CEO and Chief of Staff, including coordinating internal and external meetings, resolving conflicts and ensuring appropriate preparation and follow-up.
  • Coordinate business travel for the CEO, including itineraries, transportation, accommodations and related logistics.
  • Prepare and submit expense reports accurately and on a timely basis.
  • Coordinate logistics for Board and committee meetings, leadership meetings, investor engagements, conferences, offsites and other important executive activities.
  • Maintain organized calendars, records, trackers and Executive Office materials, handling confidential, sensitive and potentially market-moving information with exceptional discretion.
  • Anticipate needs, respond quickly to changing priorities and resolve administrative or logistical issues with minimal direction.
  • Perform a combination of strategic, operational and administrative work as needed in support of a lean and fast-moving Executive Office.

Strategic Projects and Cross-Functional Execution

  • Lead priority cross-functional initiatives from planning through execution, including workplans, milestones, stakeholder alignment, status reporting and issue resolution.
  • Synthesize complex information into clear, decision-oriented recommendations for the Chief of Staff, CEO and senior leadership team.
  • Own defined Executive Office workstreams and recurring processes, including trackers for key commitments, decisions and deliverables.
  • Identify and implement improvements to Executive Office processes, information flow and meeting effectiveness.
  • Provide flexible support for high-priority and time-sensitive assignments as business needs evolve.

Board, Investor Relations and Executive Communications

  • Support Board and committee meetings, leadership meetings and offsites, including materials, logistics, executive preparation and follow-up.
  • Prepare executives for investor and analyst meetings, conferences, external presentations and other high-stakes engagements.
  • Partner with Investor Relations, Finance and other functions on earnings materials, corporate presentations, briefing books, key messages, Q&A and selected external communications.
  • Monitor relevant Company, peer, industry and investor developments and summarize implications for internal stakeholders.
  • Serve as a trusted and highly discreet point of contact for executives, Board members, consultants and other senior stakeholders.

Permanent Role and Development

  • Following the leave period, continue to report to and partner with the Chief of Staff across strategic initiatives, executive communications, Board and investor-related activities and cross-functional execution.
  • Take increasing ownership of substantive workstreams and projects, with scope expanding based on performance, capabilities and Company priorities.
  • Build broad functional exposure and readiness for a potential future transition into Commercial, Business Development, Investor Relations or Finance.

Education, Background, and Experience:

  • MBA required; bachelor’s degree required, preferably in business, finance, life sciences or a related field.
  • Approximately 3-6 years of relevant experience in management or strategy consulting, life sciences, corporate strategy, business operations, business development, investor relations, finance or a comparable fast-paced environment.
  • Experience in a publicly traded biotechnology or pharmaceutical company is preferred.
  • Demonstrated ability to independently manage complex projects and produce executive-level analyses, presentations and written communications.
  • Strong proficiency in Microsoft Office, particularly PowerPoint, Excel, Word and Outlook.
  • Ability to travel periodically based on business needs.

Core Skills and Personal Qualifications:

  • Exceptional judgment, maturity and discretion, with a demonstrated ability to protect highly confidential and sensitive information and recognize when escalation is appropriate.
  • High emotional intelligence and strong situational awareness, with the ability to build trust, read interpersonal dynamics and work effectively with the CEO, senior executives, Board members and colleagues at all levels.
  • Ability to make sound, timely decisions in ambiguous situations using available information and judgment, including knowing when to act independently and when to seek input.
  • Excellent analytical, project management and problem-solving skills, with the ability to manage multiple priorities and senior stakeholders.
  • Exceptional written and verbal communication skills and the ability to distill complex information into concise, decision-oriented materials.
  • Highly organized, proactive and accountable, with strong attention to detail, follow-through and a bias toward timely action.
  • High responsiveness to urgent business needs, including occasional availability outside normal working hours when executive or Company priorities require it.
  • Collaborative, low-ego and hands-on, with a willingness to engage in both strategic work and essential administrative execution.
  • Intellectual curiosity, strong business judgment and an interest in developing toward a broader operating or functional leadership role.
