About the Role:
We are seeking a Senior Administrative Assistant to provide high-level administration and coordination support to the Senior Vice President and the broader team.
The incumbent will ensure efficient workflow management, support the delivery of Board of Trustees and senior leader reporting, maintain knowledge repositories and act as a liaison between internal and external stakeholders.
As the Newest Member of our Team, You’ll:
- Provide administrative, scheduling and coordination support to the Senior Vice President, ensuring smooth execution of departmental priorities and deliverables.
- Serve as a key point of contact between the Senior Vice President, internal teams, senior leaders, and external stakeholders, facilitating clear communication and timely follow-up on business priorities.
- Manage complex calendars, meetings, and scheduling requirements for senior leadership, including coordinating internal and external stakeholders across multiple departments.
- Prepare agendas, presentations, and supporting materials for meetings; take meeting minutes, and ensure a timely follow-up on any action items
- Support the preparation, review, and coordination of confidential reports and documentations.
- Manage expense reporting, approvals, and submissions to Finance, and coordinate travel and training for the leadership team.
- Perform other related tasks in support of the successful operations of the department, as required.
To Succeed, You Bring:
- A minimum of five (5) years of experience providing administrative support to senior leaders within a fast-paced environment.
- Post-secondary education in a related field.
- Proficiency is Microsoft 365 and the ability to learn and adopt new and emerging technologies.
- Superior organization skills, with the ability to anticipate needs, manage competing priorities, and proactively resolve issues.
- Excellent written and verbal communication skills and a strong attention to detail.
- Demonstrated professionalism, discretion, and the ability to navigate sensitive or confidential information.
- The ability to build trusted relationships with senior leaders and work collaboratively with others.
- Experience in the pension sector is an asset.
The target hiring salary for this position is $63,700.00-$74,900.00. Placement within our salary range will be based on factors such as internal equity, market conditions, and the candidate’s experience, skills, and qualifications relevant to the role.
