What this job involves:
The Facilities Manager is responsible for overseeing the maintenance, safety, and operational efficiency of all school facilities and grounds. This role ensures that the physical environment supports effective teaching and learning while maintaining compliance with health, safety, and regulatory standards. The Facilities Manager leads maintenance teams, manages vendor relationships, and implements preventive maintenance programs to create a safe, clean, and welcoming environment for students, staff, and visitors.
Key Responsibilities:
- Facilities Operations & Maintenance: Oversee daily operations of all school buildings, grounds, and infrastructure including HVAC systems, electrical, plumbing, and structural components. Develop and implement preventive maintenance schedules to minimize equipment downtime and extend asset lifecycles. Coordinate and supervise maintenance, custodial, and groundskeeping staff to ensure facilities are maintained to high standards. Respond promptly to emergency maintenance issues and coordinate repairs with minimal disruption to educational activities.
- Health, Safety & Compliance: Ensure all facilities comply with local, state, and federal health and safety regulations including fire codes, ADA requirements, and building codes. Conduct regular safety inspections and risk assessments, implementing corrective actions as needed. Maintain accurate records of safety inspections, incident reports, and compliance documentation. Coordinate emergency preparedness plans including fire drills, lockdown procedures, and crisis response protocols.
- Vendor & Contract Management: Source, negotiate, and manage contracts with external vendors and service providers for specialized maintenance, repairs, and projects. Monitor vendor performance to ensure quality standards and contract compliance. Obtain competitive bids for major projects and capital improvements. Build and maintain strong relationships with contractors, suppliers, and service providers.
- Budget & Financial Management: Develop and manage the annual facilities budget, tracking expenditures and identifying cost-saving opportunities. Prepare budget forecasts and variance reports for leadership review. Authorize purchases within approved budget parameters and ensure proper procurement procedures. Evaluate cost-effectiveness of repair versus replacement decisions for equipment and systems.
- Capital Projects & Improvements: Plan, coordinate, and oversee renovation projects, capital improvements, and facility upgrades. Collaborate with architects, engineers, and contractors on construction and renovation projects. Ensure projects are completed on time, within budget, and with minimal disruption to school operations. Conduct post-project evaluations to assess outcomes and identify lessons learned.
- Space Planning & Utilization: Manage space allocation and furniture arrangements to optimize facility use and support educational programs. Coordinate room setups for special events, assemblies, and extracurricular activities. Maintain inventory of furniture, fixtures, and equipment across all school facilities.
- Sustainability & Energy Management: Implement energy conservation initiatives and sustainable facilities practices. Monitor utility consumption and identify opportunities for efficiency improvements. Support the school's environmental stewardship goals through green cleaning practices and waste reduction programs.
- Team Leadership & Development: Recruit, train, supervise, and evaluate facilities and custodial staff. Foster a culture of service excellence, accountability, and continuous improvement. Conduct regular team meetings and provide ongoing professional development opportunities. Ensure adequate staffing levels to meet operational demands.
Required Qualifications:
- Education: Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field, OR equivalent combination of education and experience.
- Experience: Minimum 5 years of facilities management experience, preferably in an educational or institutional setting. Demonstrated experience managing maintenance teams and overseeing multi-building operations. Proven track record managing budgets and vendor relationships.
- Technical Knowledge: Strong understanding of building systems including HVAC, electrical, plumbing, and mechanical systems. Knowledge of health, safety, and environmental regulations applicable to educational facilities. Familiarity with computerized maintenance management systems (CMMS)
- Certifications (Preferred): Certified Facility Manager (CFM) or Facilities Management Professional (FMP). OSHA safety certification. First Aid/CPR certification.

- Financial Acumen: Ability to develop budgets, analyze costs, and make sound financial decisions.
- Flexibility: Willingness to work occasional evenings, weekends, or respond to emergency situations outside regular business hours.
