Work Setup: Onsite onboarding for two to four weeks, followed by a transition to a remote setup.

The client is a home-based dialysis service provider delivering End-Stage Renal Disease (ESRD) care to patients in their own homes across Australia. As a healthcare provider handling sensitive patient health information, Kidney Solutions is subject to the Australian Privacy Act 1988 (including the Australian Privacy Principles) and the Notifiable Data Breaches scheme.
The Role
We are seeking an IT Systems & Security Administrator to own and manage the organization's core technology and security infrastructure. This is a hands-on, largely solo role covering practice management software administration, Microsoft 365 environment management, cybersecurity, and web/domain administration. You will be the primary point of accountability for keeping clinical and business systems secure, available, and compliant.
Key Responsibilities
Halaxy (Practice Management System)
- Implement, configure, and administer Halaxy for clinical and business operations
- Manage user accounts, permissions, and access controls in line with role requirements
- Support onboarding of clinical and administrative staff onto Halaxy
- Troubleshoot day-to-day Halaxy issues and liaise with Halaxy support as needed
Microsoft 365 / IT Systems & Security
- Administer the organisation's Microsoft 365 tenant (Entra ID / Azure AD, Intune, SharePoint, Teams)
- Manage user accounts, licensing, device enrolment, and access permissions
- Implement and maintain security controls (MFA, conditional access, endpoint protection)
- Monitor for and respond to security incidents; maintain basic incident response documentation
- Manage Outlook/Exchange Online mailboxes, distribution lists, and mail flow rules
- Maintain patching, backup, and device management practices across the environment
Cyber Security
- Own baseline cyber security posture across email, endpoints, web, and cloud systems
- Apply security best practice aligned to the Australian Cyber Security Centre's Essential Eight (or confirm target maturity level with management)
- Manage phishing/spam filtering and staff security awareness where relevant
- Support the organization's compliance obligations under the Privacy Act and Notifiable Data Breaches scheme as they relate to IT systems
Website, Domain & Hosting
- Administer and update the client's website content
- Manage domain registration via GoDaddy
- Manage hosting via Namecheap
- Manage SSL certificate issuance, renewal, and installation via Namecheap
- Monitor site uptime and troubleshoot basic web/hosting issues
About You
- Minimum 5 years' experience in IT systems administration, with demonstrated ownership (not just BAU support) of security and infrastructure decisions
- Track record of operating with minimal supervision and setting technical direction, not just executing tickets
- Strong working knowledge of Microsoft 365 administration (Exchange Online, Entra ID, Intune)
- Practical cybersecurity knowledge (endpoint protection, email security, access management)
- Experience with domain/DNS management, web hosting, and SSL certificate administration
- Experience with WordPress or a similar CMS for website content updates
- Experience with practice management or clinical software (Halaxy experience highly regarded)
- Understanding of, or willingness to learn, healthcare data privacy obligations in Australia
- Comfortable working independently and prioritizing across a broad technical remit
- Strong communication skills — you'll be working with non-technical clinical and administrative staff, largely remotely after onboarding
- Able to attend the Haymarket, NSW, office for 2–4 weeks at the start of employment for onboarding and training
- Reliable home setup suitable for handling sensitive patient data (secure network, private workspace)
Desirable
- Relevant certifications (e.g. Microsoft 365 Certified: Administrator Expert, CompTIA Security+)
- Prior experience in a healthcare, allied health, or aged/disability care setting
- Familiarity with the Australian Privacy Principles and Notifiable Data Breaches scheme
