IT Administrative Assistant
ALS provides a broad range of testing and analytical services to a wide variety of end markets and industries around the global. We are seeking enthusiastic and reliable staff filling the following position in Vientiane office.
Job Summary
The IT Administrative Assistant provides administrative and operational support to the Information Technology department. This role assists with IT documentation, equipment and asset tracking, vendor coordination, service requests, scheduling, purchasing, and communication with employees and external partners. The ideal candidate is organized, detail-oriented, customer-focused, and comfortable working with technology and confidential information.
Key Responsibilities
- Provide day-to-day administrative support to the IT department and IT leadership.
- Maintain accurate records of IT systems data (Time Attendance), equipment, software licenses, warranties, and assigned assets
- Assist with onboarding and offboarding activities, including equipment preparation, account request coordination, and asset recovery.
- Submit, track, and follow up on IT service requests and support tickets.
- Maintain IT procedures, user guides, inventories, and other department documentation.
- Schedule meetings, training sessions, maintenance activities, and project reviews.
- Prepare reports, spreadsheets, presentations, meeting agendas, and status updates.
- Assist with purchasing, purchase orders, invoices, renewals, and vendor communications.
- Coordinate equipment repairs, replacements, shipping, and deliveries.
- Communicate with employees regarding IT policies, procedures, scheduled outages, and service updates.
- Support audits, compliance activities, and information-security documentation.
- Help maintain organized electronic and physical IT records.
- Protect confidential company, employee, customer, and technology information.
- Perform other administrative duties and IT support tasks as assigned.
Qualifications:
- Diploma or equivalent required; associate degree or relevant certification preferred. Recent graduates are encouraged to apply.
- Experience working in an IT, help desk, laboratory, or corporate environment.
- Familiarity with ticketing systems such as ServiceDesk+, Jira, or Zendesk.
- Experience with hardware and software asset management.
- Proficiency with Microsoft Office or Microsoft 365, including Outlook, Word, and Excel.
- Ability to learn IT service-management, asset-management, and procurement systems.
- Basic understanding of user accounts, computers, mobile devices, networking, and cybersecurity practices.
- Experience coordinating employee onboarding and offboarding.
- Lao & English language skills
- Strong organizational and time-management skills.
- Strong written and verbal communication skills
- High attention to detail and accuracy.
- Ability to prioritize multiple tasks and meet deadlines.
- Ability to handle confidential information professionally.
- Strong customer-service mindset and problem-solving ability.
