Job Summary
The Administrative Assistant provides comprehensive administrative and operational support to the Nursing Education Department across Centralus Health an integrated health system. This role ensures the efficient coordination of educational programs, onboarding programs, nurse residency programs, and ongoing professional development initiatives for nursing division staff. The Administrative Assistant will serve the leadership team of the Nursing Education department as well as be a key liaison between educators, clinical staff, leadership, and external partners, supporting the delivery of high-quality education that aligns with organizational goals, regulatory standards, and patient care excellence.
Job Functions (5-10)
Program Coordination: Coordinate logistics for nursing education programs, including orientation, nurse residency, onboarding, continuing education, and competency training sessions.
Scheduling and Calendar Management: Maintain complex calendars for educators and department leadership; schedule meetings, classes, and events across multiple clinical sites within the health system.
Data and Record Management: Maintain accurate education records, attendance logs, certifications, and compliance documentation in learning management systems (LMS) and databases.
Communication and Correspondence: Prepare and distribute communications such as program materials, announcements, reports, meeting minutes, and departmental updates.
Event and Meeting Support: Organize meetings, workshops, and education events, including preparing agendas, materials, audiovisual setup, and post-event follow-up.
Reporting and Documentation: Generate routine and ad hoc reports related to education participation, compliance metrics, and program outcomes.
Stakeholder Coordination: Serve as a liaison between nursing staff, educators, human resources, and external partners to support onboarding and ongoing education initiatives.
Process Improvement Support: Assist in identifying workflow improvements and supporting department initiatives that enhance efficiency and effectiveness

Education / Experience Qualifications
Required:
- Associate's Degree
- 2-4 years of administrative experience, preferably in healthcare or education settings
- Experience working in a hospital or integrated health system strongly preferred
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Preferred:
- Experience in program management and managing health care programs
Physical Requirements
Repetitive use of hands and fingers (e.g., Use of computer keyboard); may require lifting and carrying light loads (up to 40 lbs), including boxes, equipment, IV solutions and stooping and kneeling (e.g., to pick up items from the floor, to remove and replace items on lower shelves and to file documents in lower file drawers); sitting, walking, or standing for long periods of time may be necessary; must be able physically to operate the equipment used for the job.
Job Requirements
As a Centralus level position, at times minimal travel will be required between sites.
