Description
you will be the backbone of our local operations, ensuring the seamless functionality of our historic
office environment while providing critical support to our Global Executive Office and HR functions.
This role requires a high degree of maturity, discretion, and an entrepreneurial mindset to manage
diverse priorities in a fast-paced environment.
Key Responsibilities
- Facility Oversight: Ensure the smooth day-to-day operation of our historic corporate office. Act as the primary point of contact for building maintenance, including climate control, security,
and repairs. - Vendor & Budget Management: Manage relationships with service providers (cleaning,
maintenance, technical services). Oversee office supplies procurement, inventory tracking,
and office budget monitoring. - Reception & Atmosphere: Manage the front office, including welcoming visitors, handling
incoming calls, and ensuring the office environment is maintained to the highest standard.
- Administrative Coordination: Provide high-level support to the EA team (based in Dubai) to assist in the organization of EXCO seminars, leadership meetings, and executive travel.
- Global Logistics: Manage global shipping/courier requirements and maintain positive
relationships with logistics vendors. - Operational Support: Handle administrative tasks, meeting scheduling, and document
preparation as required by the executive leadership.
- Employee Engagement: Drive employee engagement initiatives for the Geneva site and act as a point of contact for remote team members in Europe.
- HR Administration: Assist with administrative duties including work permit support, tax and
social security documentation, pension administration, payroll support, work certificate and
insurance compliance. - On-boarding/Off boarding: Facilitate the integration of new joiners and manage the
administrative aspects of off-boarding processes. - Recognition: Coordinate employees birthday celebrations, length of service.
Skills, Knowledge and Expertise
- Education & Experience: Proven experience within a corporate headquarters environment.
- Language Skills: Fluent in both English and French (written and spoken) is essential.
- Technical Knowledge: Good understanding of Swiss administrative, tax, and social security
processes/compliance.
- Discretion & Integrity: High level of maturity and ability to handle confidential information with complete discretion.
- Structure & Organisation: Highly organised, capable of multitasking, and proactive in
setting priorities. - Mindset: Entrepreneurial, problem-solver, with strong commitment, accountability and
drive. - Engagement: Energetic personality with a collaborative spirit and the ability to
animate a team/office atmosphere. - Flexibility: Adaptable to changing business needs and flexible working hours.
