Job Overview
Location: Lloyd Corporate Plaza in NE Portland
Schedule: Monday through Friday, typically 8:30 a.m. to 5:00 p.m.
The Contract Administrator is responsible for contract planning, drafting, negotiating, executing, monitoring, and coordinating the contract management lifecycle across the organization. This position serves as the liaison for contract reviews, contract disputes, and contract performance. The role requires strong communication, negotiation, analytical, and organizational skills to successfully work with internal and external stakeholders in executing contracts that protect the organization’s interests.

Essential Duties

General:
- Draft, review, negotiate, and prepare contracts, agreements, memorandums of understanding, and other documents as needed for internal review, approval, and signature, ensuring accuracy, completeness and proper authorization prior to execution.
- Coordinate the contract review process, obtain input from internal stakeholders, and support redlining.
- Evaluate and manage requests for contract changes, including change orders, revisions, and amendments, maintaining version control and ensuring an auditable record of approvals and revisions.
- Manage contract administration activities through the contract lifecycle, supporting contracts from intake through close out in the contract management platform; serve as key point of contact for contract management system training, troubleshooting, and support.
- Monitor contract performance; support the development/monitoring of metrics, KPIs, and status updates.
- Provide guidance to internal teams on contract interpretation and terms and support training on contract topics.
- Maintain and continuously improve contract administration policies, procedures, systems, templates, standard clauses, and playbooks to streamline processes and reduce timelines.
- Partner with cross-departmental teams to perform compliance and quality assurance checks and support internal and external audits, ensuring internal work meets the requirements and standards set forth in contracts, grants, and regulatory requirements.
- Perform other duties as assigned.
Regulatory & Compliance:
- Support analysis of contracts and agreements to ensure compliance with policies, regulatory requirements, and industry standards.
- Track and assist with fulfilling grant and contract reporting requirements and timelines.
- Comply with laws, regulations, policies, and procedures under which the program and company operate.
- Respect and honor client rights and responsibilities and demonstrate professional boundaries and ethics.
- Maintain accurate and up-to-date documentation that ensures compliance with all agency policies and procedures and local, state, and federal regulations.
- Understand safety regulations and evacuation procedures; participate in regular safety drills in compliance with program policies and procedures.
- Complete annual employee training in compliance with program and company requirements.
- Provide guidance, support, and training to other staff in alignment with company mission and values.
- Participate in all scheduled staff meetings, supervision sessions, and other departmental and company meetings.
Qualifications
Education:
Required:
A bachelor’s degree in business administration, finance, healthcare, or a related field.
Three additional years of relevant work experience (totaling at least 6 years of relevant work experience) may be substituted for a degree.
Experience:
Required:
Minimum of three years in a similar position related to contract administration, contract/grant compliance, contract operations, or similar work. Experience must include drafting, revising, and negotiating contracts
Preferred:
Experience with healthcare contracts.

Working Conditions
Environmental:
Work is performed in one or more of the following: a clinical office, acute care settings, and community setting including client residences, correctional facilities, shelters, hospitals, public places, and other social service sites. Meal periods and breaks are subject to interruption. Universal Precautions and remaining alert to the environment are critical to address the potential for violent behavior, exposure to disease, biohazards, noise, and contaminants.
Mental Demands:
The work assigned is diverse and involves addressing new and unusual circumstances. The work regularly involves a degree of unpredictability and disruption of planned tasks requiring a flexible time management approach. In addition, this position requires exercising sound judgment.
