Circle K Luxembourg S.A. is currently looking for a:
Payroll Officer
Your Role:
You are responsible for coordinating, preparing and controlling all payroll-related elements for employees in Luxembourg. Working closely with the fiduciary responsible for payroll processing, you ensure the accuracy and compliance of the data provided, monitor adherence to Luxembourg social legislation, and deliver a high-quality service to managers and employees on all matters related to compensation and personnel administration.
Main Responsibilities:
Payroll Administration
- Collect, verify and consolidate monthly variable payroll data from the different retail locations (hours worked, bonuses, absences, holidays, sick leave, etc.).
- Prepare and submit payroll information to the fiduciary within the agreed deadlines.
- Review payroll calculations prepared by the fiduciary and ensure data quality and accuracy.
Personnel Administration
- Manage administrative aspects of the employee lifecycle (hiring, fringe benefits, contractual changes, promotions, working time adjustments, departures, etc.).
- Maintain and update personnel records and HR systems.
- Manage the administration of absences, holidays and sick leave.
- Handle the administrative follow-up of group insurance schemes.
Relations with External Organisations
- Act as the interface between the company and the fiduciary.
- Follow up on cases with Luxembourg authorities and social security institutions (CCSS, CNS, ADEM, ITM, etc.).
- Respond to information requests and prepare the required documentation for inspections and audits.
Support for Employees and Managers
- Answer employee queries regarding salary, payslips, holidays or administrative matters.
- Advise managers on administrative and social aspects related to personnel management.
- Ensure a high level of confidentiality when handling personal data.
Compliance and Control
- Ensure the correct application of Luxembourg labour, social security and tax legislation, as well as internal policies and agreements.
- Contribute to the continuous improvement of payroll and personnel administration processes.
- Produce HR reports and indicators related to payroll costs, workforce numbers and absenteeism.
Your Profile:
- Higher education degree in Management, Human Resources or a related field.
- Minimum of 3 years’ professional experience in Human Resources or a similar position.
- Good knowledge of Luxembourg Labour Law and payroll administration.
- Good command of French, German and English, both written and spoken.
- Proficient in IT tools, particularly Microsoft Office.
- Strong communication skills and empathy, with the ability to build high-quality professional relationships.
- Discretion and absolute respect for confidentiality.
- Attention to detail and a rigorous approach to work.
- Strong organizational skills and the ability to manage priorities effectively.
