Your RoleĀ 

As Payroll Officer Luxembourg, you are part of the Benelux Payroll team and are responsible for the coordination, preparation, and control of all payroll-related activities for employees in Luxembourg (service station and head office employees).Ā 

Working closely with SD Worx, the payroll provider responsible for salary processing, you ensure the accuracy and compliance of payroll data, monitor adherence to Luxembourg labour and social security legislation, and provide high-quality support to managers and employees regarding payroll and personnel administration matters.Ā 

Key ResponsibilitiesĀ 

Payroll AdministrationĀ 

  • Collect, verify, and consolidate monthly variable payroll data from the different service stations (worked hours, absences, holidays, sick leave, bonuses, etc.).Ā 

  • Prepare and submit payroll information to SD Worx within agreed deadlines.Ā 

  • Review payroll calculations prepared by SD Worx and ensure data quality and accuracy.Ā 

Personnel AdministrationĀ 

  • Manage the administrative aspects of the employee lifecycle (new hires, fringe benefits, contractual changes, promotions, working time adjustments, terminations, etc.).Ā 

  • Maintain and update employee records and HR systems.Ā 

  • Manage the administration of absences, leave requests, and sick leave.Ā 

  • Administer group insurance plans.Ā 

External Stakeholder ManagementĀ 

  • Act as the primary point of contact between the company and the payroll provider.Ā 

  • Follow up on administrative files with Luxembourg authorities and social security institutions (CCSS, CNS, ADEM, ITM, etc.).Ā 

  • Respond to information requests and prepare documentation required for audits and inspections.Ā 

Employee and Manager SupportĀ 

  • Respond to employee queries regarding salary, payslips, leave, and personnel administration matters.Ā 

  • Advise managers on administrative and employment-related aspects of people management.Ā 

  • Ensure a high level of confidentiality when handling personal data and sensitive information.Ā 

Compliance and ReportingĀ 

  • Ensure the correct application of Luxembourg labour and tax legislation, as well as internal policies and procedures.Ā 

  • Contribute to the continuous improvement of payroll and personnel administration processes.Ā 

  • Prepare HR reports and key indicators related to payroll costs, headcount, and absenteeism.Ā 

Your ProfileĀ 

  • Bachelor's or Master's degree in Management, Human Resources, or a related field.Ā Ā 

  • Minimum of 3 years of professional experience in Human Resources or a similar role.Ā Ā 

  • Good knowledge of Luxembourg labour law and payroll administration; experience with Workday and/or SD Worx is an asset.Ā Ā 

  • Strong command of French, German, and English, both written and spoken.Ā Ā 

  • Proficient in Microsoft Office applications, particularly Excel.Ā Ā 

  • Excellent communication skills and a strong sense of empathy to foster positive working relationships.Ā Ā 

  • Discreet and committed to maintaining strict confidentiality.Ā Ā 

  • Accurate, detail-oriented, and well organized.Ā Ā 

  • Strong organizational skills and the ability to manage priorities effectively.Ā
