About the Opportunity
JOB SUMMARY
The Administrative and Communications Specialist provides communication, project coordination, program, and administrative support to the Talent Management team in University HR.
This position is a fixed-term role with a one-year appointment. This role follows a hybrid work schedule, combining both on-campus and remote work.
MINIMUM QUALIFICATIONS
- Strong organization and communications skills (both verbal and written)
- Must be able to multi-task, exercise professionalism and good judgement, and work both as a team and independently to manage, prioritize and deliver on various responsibilities and tasks in a timely and effective manner
- Strong attention to detail
- 3-4 years of related administrative experience
- Knowledge and skills required for this position are typically acquired through the completion of a Bachelor’s degree
- Advanced Excel skills preferred
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Administrative Support:
- Schedules large meetings and coordinates logistics
- Creates and updates organizational charts
- Compiles, organizes, cross-references, and formats reports
- Takes notes at team meetings and summarizes updates for the team
- Organizes and files job descriptions
- Organizes and maintains Teams and SharePoint sites and file systems
- Event/program scheduling and logistics
Communications Support:
- Edits and proofreads communications, presentations, and other materials
- Designs PowerPoint decks and resources
- Reviews communications with different audiences in mind; tailors communications for different audience needs
- Audits Teams sites and HR Service Center content monthly to confirm information is current
Learning Support:
- Maintains attendance records for multiple learning programs
- Organizes nominee lists and sends invitations to learning programs as requested
- Sends participant surveys, compiles results, and tracks common themes
Project Support:
- Tracks team projects and initiatives to keep them on schedule
- Follows up on action items between meetings so work continues to move forward
