Provides dedicated, high-quality administrative support to one or more executives and their broader function, serving as a trusted point of coordination for schedules, communications, information flow, meetings, travel, expenses and general office administration. The role also provides business operations support by coordinating recurring processes, monitoring operational commitments, supporting reporting and process improvement, and providing functional oversight across associate-level administrative resources within the function, without direct people leadership accountability.

JOB ACCOUNTABILITIES

• Provide a high level of administrative support, ensuring quality, responsiveness, discretion and professionalism in every interaction.
• Act as a key point of contact among executives, employees, clients and external partners; triage requests and facilitate timely follow-up.
• Manage complex calendars, including planning and scheduling meetings, conferences, teleconferences and travel while anticipating conflicts, dependencies and changing priorities.
• Manage timely and accurate information flow, correspondence and confidential materials using sound judgement and discretion.
• Coordinate meeting logistics, prepare agendas and materials, capture minutes and decisions, and track follow-up items to completion.
• Maintain an integrated view of recurring deliverables, governance routines, business calendars, reporting cycles and operational commitments; follow up with owners and escalate risks or delays as appropriate.
• Prepare, format and proofread internal and external communications, presentations, reports, memos and briefing materials.
• Gather, organize and analyze information to support business updates, operational reporting, planning discussions and management decision-making.
• Complete expense administration and support weekly, monthly or quarterly reporting and reconciliation requirements.
• Coordinate day-to-day administrative workflows and operational activities across the function, helping ensure schedules, milestones and deadlines are met.
• Screen and direct calls, distribute correspondence, maintain records and support office supply, equipment and other administrative processes as required.
• Support the maintenance of departmental assets, shared resources, records and operational documentation.
• Provide broad administrative support to the executive’s leadership team and function, balancing competing priorities and service expectations.
• Document and communicate changes to administrative work standards, procedures, templates and shared practices across the function.
• Identify and recommend opportunities to simplify processes, strengthen controls, improve service and enhance productivity or operational efficiency.
• Provide functional coordination and indirect oversight for associate-level administrative resources across the function, including aligning work practices, coordinating coverage and priorities, sharing guidance, and supporting knowledge transfer and consistency of service. This accountability does not include direct people leadership, performance management, hiring or compensation decisions.
• Provide onboarding support and job-related guidance to administrative colleagues as required, and serve as an escalation point for complex administrative process questions.
• Support the review of administrative or operational process gaps, document findings and escalate non-standard or higher-risk matters.

• Prioritize and manage own workload to meet service, quality and productivity expectations.
• Understand and apply operating policies, procedures and applicable regulatory requirements.

• Exercise appropriate due diligence and discretion, particularly when handling sensitive or confidential information.
• Escalate non-standard, high-risk or unresolved activities and issues through appropriate channels.
• Be knowledgeable of and comply with the Bank Code of Conduct.
• Monitor adherence to agreed administrative processes and controls across coordinated activities; identify recurring issues and recommend corrective or preventive improvements.

EMPLOYEE / TEAM

• Participate fully as a member of the team and contribute to a positive environment that promotes service, quality, innovation, collaboration and timely communication.
• Continuously enhance knowledge and expertise, participate in cross-training and share relevant information across the team and business unit.
• Keep stakeholders informed about the status and progress of activities, deliverables, risks and issues.
• Contribute to a fair, positive and equitable environment that supports a diverse workforce.
• Act as a brand ambassador for the business area/function and the bank, internally and externally.

• Performs multiple tasks and varied assignments with a high degree of discretion, confidentiality and professionalism.
• Works with limited supervision and exercises autonomy within established parameters, referring unusual, sensitive or higher-risk matters as appropriate.
• Takes a broad perspective to identify and resolve issues that are atypical, infrequent or not covered by stated processes.
• Interacts regularly with internal partners and may engage with external clients, vendors or other stakeholders.
• Focus of work spans day-to-day and weekly activities and includes recurring monthly or quarterly processes.
• Requires strong working knowledge of the business unit, administrative practices, relevant systems and applicable regulatory or control requirements.
• Coordinates activities involving multiple steps, stakeholders and systems, and uses judgement to sequence work, manage dependencies and escalate exceptions.
• Provides indirect functional oversight and process guidance to associate-level administrative resources across the function while remaining an individual contributor with no direct people leadership accountability.
