What you’ll do:

• Order Management: Plan, organize, and process quotes, orders, and invoices to ensure smooth service job coordination from start to finish.
• Daily tasks: include managing incoming and outgoing rebuild job schedules and maintaining accurate documentation. Success means timely, accurate order processing and customer satisfaction.
• SAP Utilization: Use SAP for quote development, order entry, Sales Order and Service Order creation, purchase order expediting, and document management. Daily use of SAP is essential to maintain workflow efficiency and data accuracy.
• Communication & Coordination: Serve as the primary liaison between shop floor personnel, service teams, sales, and customers. Communicate any changes impacting quotes or orders promptly to all stakeholders. Success is measured by clear, proactive communication and effective issue resolution.
• Workflow Optimization: Monitor and adjust work prioritization, skill alignment, and scheduling to optimize shop floor operations. Balance planned and reactive work to maintain throughput while meeting urgent customer needs. Travel is minimal to none, as this is an onsite role.
• Capacity Forecasting & Problem Solving: Participate in forecasting capacity needs based on demand and backlog, identify recurring disruptions, and recommend improvements to management. Success includes improved operational efficiency and reduced bottlenecks.

What you’ll bring
Must-haves:

• Highschool or GED
• 2+ years of relevant work experience in service administration or related fields
• Proficiency with SAP or similar ERP systems
• Experience in planning and scheduling work/orders
• Strong communication and organizational skills
• Experience in customer service and sales coordination
• Ability to analyze workflow and recommend process improvements

Nice-to-haves:

• Experience working in a manufacturing or service center environment
• Knowledge of mining or heavy equipment service operations
• Excellent time management and ability to problem solve in a fast paced environment
• Ability to work well within a team and coordinate with multiple departments
