Manager, IT Asset Management

Flynn Group of Companies, North America's leading building envelope contractor, is looking for a Manager, IT Asset Management to work from our Mississauga location. This position is part of the IT department, reporting to the Director, IT Operations, and leads the IT Asset Management Coordinator and the ITAM function overall.

Overview

IT Asset Management (ITAM) is responsible for the management of technology assets, optimizing the value and cost of those assets while mitigating the risks they present to the organization throughout their life. This is done by establishing an effective technology life cycle spanning asset selection, operation, refresh, migration, and optimization, all the way through retirement and disposal.

The Manager, IT Asset Management owns this function end to end: setting ITAM strategy and policy, ensuring the accuracy of the Configuration Management Database (CMDB), managing vendor contracts and renewals, and leading the ITAM Coordinator and future ITAM team members. The role is accountable for asset and license compliance, and for the cost discipline of IT procurement and service spend.

A Day in the Life

• Develop, document, and promote ITAM strategies, policies, and practices across the full range of IT assets used within the organization.
• Track and manage IT assets through their entire lifecycle: planning, acquisition, deployment, operations, maintenance, and disposal.
• Identify, assess, and remediate asset risks in collaboration with the security and infrastructure teams.
• Own the accuracy of the CMDB, including regular audits that verify software assets against license contracts and hardware assets against actual inventory, and track corrective actions to closure.
• Manage the inventory of assets, including dependencies and attributes, ensuring modifications, withdrawals, and additions are correctly recorded in the relevant systems.
• Identify data completeness and quality issues and escalate them to the responsible data or process owners.
• Provide KPI and metric reporting on asset inventory, license compliance, and lifecycle status on a standardized, scheduled basis.
• Own the IT contracts library and renewal calendar, proactively tracking contract and SLA terms to drive early renewal negotiation, avoid coverage lapses, and pursue service credits when SLA thresholds are missed.
• Co-manage and monitor procurement activities, including purchase processes, vendor evaluation, and contract adherence, to eliminate risk and exposure, and manage the IT procurement process to ensure consistent, timely purchase order creation.
• Manage software license compliance across the organization, including regular license audits against usage and entitlement.
• Ensure invoices and recurring service billing for IT hardware, software, and services are reviewed, coded properly, and processed on time for payment and general ledger posting.
• Identify and capture cost savings and cost avoidance opportunities across renewals, upgrades, software licensing, and services.
• Hold regular reviews with key stakeholders (e.g., Security, Infrastructure, Finance) on ITAM process, policy, activities, and outcomes, and incorporate their feedback into the program.
• Lead, coach, and develop the ITAM Coordinator and additional ITAM team members as the function grows, and cross-train staff so critical ITAM processes are not single-threaded.
• Build and manage IT asset management budgets for quarterly and annual review.
• Research industry best practice and incorporate it into Flynn's ITAM program.

What We Are Seeking

• Bachelor's degree in Information Technology, Business Administration, or a related field, or equivalent work experience.
• 5+ years of experience in IT asset management, IT procurement, or IT operations, including experience leading or mentoring staff.
• Strong understanding of hardware and software lifecycle management, CMDB discipline, and software license compliance.
• Experience managing vendor relationships, contracts, SLAs, and renewal negotiations.
• Working knowledge of ITIL and ITSM practices as they relate to asset and configuration management.
• Proficiency in Microsoft Excel and comfort working with CMDB or asset management tooling (e.g., Device42).
• Strong analytical, organizational, and communication skills, with excellent attention to detail and accuracy.

• Experience with telecom expense management platforms.
• Industry certifications such as ITIL Foundation or an ITAM-specific certification (e.g., CHAMP, CITAM).
• Experience supporting asset management in manufacturing or shop floor environments.
