Position Summary

The Student Operations Coordinator oversees enrollment management processes, program administration, student services, outreachactivities, and departmental initiatives that advance student participation in global learning opportunities. Reporting to the Assistant Director for Operations, the Coordinator works collaboratively with advising, operations, and program management staff to ensure efficient delivery of Education Abroad services and a positive student experience.

Essential Duties/Responsibilities

Study Abroad Course Information Management (35%)

  • Manage the workflow for study abroad transfer-credit course evaluations, exercising independent judgment to establishpriorities, identify workflow deficiencies, resolve process issues, and ensure accurate and timely coordination between Education Abroad and Transfer Credit Services.

  • Monitor and analyze large datasets in the study abroad course database to proactively identify expiring course approval records, emerging academic trends, gaps in course offerings, and other issues affecting program administration; provide recommendations to Global Learning Advisors regarding curriculum development and strategic program needs.

  • Audit student course registrations against approved course-evaluation information, identify discrepancies or potential academic-record issues, determine appropriate corrective actions, and coordinate resolution with relevant offices.

Records & Registration (25%)

  • Administer and oversee student registration and records processes for Education Abroad programs, identifying registration issues and determining appropriate resolutions.

  • Interpret and implement established Education Abroad operating practices related to registration, records, insurance, and program readiness, recommending modifications to procedures when existing practices do not adequately address operational needs.

  • Conduct comprehensive audits of student academic records, assess the accuracy and completeness of credit and gradeinformation, identify operational deficiencies, and initiate corrective actions or recommendations to ensure the integrity of records.

  • Other duties as assigned.

Advising & Outreach (25%)

  • Develop student-facing resources and recommend outreach opportunities, including presentations, webinars, videos,guides, and other materials in support of Education Abroad's strategic objectives.

  • Participate in strategic planning initiatives focused on study abroad experience, identifying opportunities forimprovement and developing recommendations to improve communications.

  • Serve as a co-lead for large scale Education Abroad sponsored events including Study Abroad Fairs and visa services events, coordinating operations involving internal and external stakeholders.

  • Other duties as assigned.

Student-facing Operations (15%)

  • Serve as an administrative resource for complex student and stakeholder inquiries, independently assessing the nature ofissues, determining appropriate responses or courses of action, and resolving matters within the scope of delegated authority.

  • Evaluate proposed system and workflow changes and provide recommendations regarding content improvements that enhance the student experience.

  • Other duties as assigned.

Physical Demands

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to walk short distances, and/or drive a vehicle to deliver and pick up materials.

Preferred Qualifications:

  • One year of experience in higher education administration, student services, international education, program coordination, enrollment management, or advising.

  • Study, volunteer or work experience in an international or intercultural setting

  • Demonstrated commitment to expanding access to educational and global learning opportunities

  • Demonstrated experience working with a student information system

  • Demonstrated experience managing and analysing large datasets.

  • Experience with the Google suite, with strong skills in Google Sheets.

  • Ability to problem solve and implement solutions with strong attention to detail.

Minimum Qualifications

Education: Bachelor’s degree from an accredited college or university.

Experience: One (1) year of professional administrative or coordinator experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

KNOWLEDGE, SKILLS, ABILITIES:

 

Knowledge of best practices in organization, administration, and customer service.

Knowledge of proper protocol in dealing with confidential information.

Skill in oral and written communication.

Skill in the use of Microsoft Office and Google Workspace (Docs, Sheets, Slides, Forms, etc.)

Ability to interpret and apply policies, procedures, regulations, and laws.

Ability to multitask while demonstrating a commitment to customer service.
