Description

At Petite Smiles, we believe a child’s and parents dental experience should be positive, personal, and memorable and that starts the moment a family walks through our doors.

We are looking for a Part-Time Patient Experience & Treatment Coordinator who is warm, confident, organized, and genuinely enjoys working with children and their families. This role is ideal for someone who understands that exceptional patient care goes beyond the clinical appointment; it’s about creating trust, making families feel cared for, and helping them confidently navigate their child’s dental treatment.
Under direct and indirect supervision, the Patient Experience & Treatment Coordinator will serve as an important connection between our patients, families, and clinical team. This person will help create a seamless experience from scheduling and check-in through treatment coordination, financial discussions, and follow-up.

Schedule:
  • Monday: 7:30 AM – 4:00 PM.
  • Wednesday: 7:30 AM – 4:00 PM.
  • Friday: 7:30 AM – 2:00 PM.
  • Additional hours may be available.

What You’ll Do:
  • Create a warm, welcoming, and personalized experience for every child and family.
  • Greet patients and families with genuine enthusiasm and professionalism.
  • Build strong relationships with parents and caregivers and become a trusted point of contact for their questions and needs.
  • Answer phones, respond to patient inquiries, schedule appointments, and confirm upcoming visits.
  • Coordinate treatment plans and help families understand recommended care, next steps, and financial expectations.
  • Present treatment plans confidently and compassionately while helping families make informed decisions about their child’s care.
  • Follow up with families regarding outstanding treatment and help remove barriers to completing recommended care.
  • Collect estimated payments at the time of service and assist with patient balances and financial questions.
  • Maintain accurate patient information and ensure excellent attention to detail.
  • Help maintain a calm, organized, and efficient front-desk flow.
  • Communicate effectively with the clinical team to ensure a smooth transition between the front desk and operatory.
  • Contribute to a positive, collaborative team culture where everyone works together to create an exceptional patient experience.

Our Ideal Candidate:
You are someone who:
  • Is warm, personable, and naturally great with children and families.
  • Has a positive, service-driven attitude and is genuinely interested in helping people.
  • Is coachable, takes feedback well, and is always looking for ways to improve.
  • Takes pride in creating a polished, professional, and memorable patient experience.
  • Builds trust quickly and communicates clearly and confidently.
  • Can discuss treatment recommendations and financial arrangements in a way that feels helpful—not pushy.
  • Is comfortable asking for treatment and helping families move forward with recommended care.
  • Is organized, detail-oriented, and able to stay calm in a busy environment.
  • Is dependable, punctual, and consistently professional.
  • Enjoys being part of a close-knit, team-oriented practice.

Your Experience:
Our ideal candidate will have:
  • At least one year of dental experience IS A PLUS.
  • Experience in a pediatric dental or family-focused practice.
  • Experience with treatment coordination, scheduling, or dental front-office responsibilities.
  • Strong verbal and written communication skills.
  • Confidence discussing treatment plans, insurance, and financial arrangements.
  • A strong customer-service mindset and a genuine desire to make every patient feel valued.
  • The ability to balance warmth and compassion with organization, accountability, and attention to detail.

Why Petite Smiles?
At Petite Smiles, we’re not simply looking for someone to fill a front-desk position. We’re looking for someone who understands the importance of the patient experience and wants to play a meaningful role in helping children and families feel comfortable, confident, and cared for. Growing practice.

If you are someone who loves creating connections, enjoys working with families, and takes pride in doing things exceptionally well, we would love to meet you.
