Description
Position Summary: responsible for processing and paying a company's bills and invoices. They verify invoice accuracy, reconcile statements, and ensure timely payments to vendors. This role also involves managing vendor relationships, resolving discrepancies, and maintaining accurate records.
Essential Functions:
- Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
- Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies.
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
- Assists with accounting records and ledgers by reconciling monthly statements and transactions.
- Records entry of, verifies documentation for, and distributes petty cash.
- Calculates and reports sales tax based on paid invoices.
- Other related duties as assigned.
Requirements
Qualifications:
- High school diploma or GED certificate is typically required, but an Associate's or Bachelor's degree in Accounting, Finance, or a related field can be beneficial.
- Proficiency in Accounting Software: Experience with software like QuickBooks, SAP, or other relevant systems is crucial.
- Microsoft Office Suite: Strong proficiency in Excel, Word, and Outlook is expected.
- Data Entry: Accuracy and speed in entering financial data are essential.
- Attention to Detail: AP clerks must be meticulous and accurate in their work.
- Organizational Skills: Maintaining records and managing multiple tasks efficiently is vital.
- Communication Skills: Effective written and verbal communication is needed to interact with vendors and internal staff.
- Problem-Solving: The ability to identify and resolve discrepancies or issues in invoices is important.
