Cover Coordinator | Kirkby Stephen | £26,403 – £29,540 FTE | Term-time only + 2 weeks, full or part-time

This is a great opportunity to join the admin team at a well-resourced secondary school in Kirkby Stephen, part of a successful Multi Academy Trust. The Role
This is the part that sets the tone for the whole school day. You'll make sure lessons are staffed and learning keeps going, whatever the morning throws at you.
- Organise cover for absent staff and build the daily cover rota in line with school policy
- Arrange efficient, effective cover of lessons by supply staff and teachers, including exams and room allocations
- Deploy and oversee Cover Supervisors and supply staff
- Liaise with supply agencies and internal staff to secure and confirm bookings
- Work with senior leaders on planned and longer-term absences
- Help induct new supply staff and keep guidance materials up to date
- Keep absence records, timesheets and payroll paperwork accurate and on time
- Liaise with teachers so there's suitable work ready for every cover lessons
- Provide a warm, professional welcome to internal and external visitors, face to face and over the phone
- Sign visitors, students and staff in and out in line with safeguarding procedures
- Handle enquiries efficiently and manage incoming and outgoing correspondence
- Maintain office records, databases and filing systems
- Support operations with reports, communications and data entry (including detentions and exclusions)
- Help coordinate events such as Parents' Evenings and transition activities
- Prepare newsletters, letters to parents and other publications
- Keep office resources topped up – stationery, displays, ID badges and first aid supplies
- Support student services with queries, lost property and helping pastoral teams with reports and tracking
- Report health and safety issues and help with emergency procedures such as fire drills
- Take on general clerical duties including printing, photocopying and laminating
- Administer first aid if qualified, or be willing to train
You'll Flourish if You Have
- Secretarial or administrative experience and strong organisational skills
- Excellent communication skills, written and spoken
- Confident ICT skills, including Word (with mail merge), Excel and PowerPoint
- A discreet, trustworthy approach to sensitive and confidential information
- The ability to plan, organise and prioritise your own workload
- A friendly, approachable manner with both children and adults
