Growth-oriented investment firm backing category-defining companies across public and private markets is looking for an Administrative Chief of Staff to support their President & Co-Founder. This is a step up for a senior EA who already works like a chief of staff without the title. You won't just keep a calendar, you'll run the President's office: owning a complex, fast-changing schedule and deciding how his time is spent, building the dashboards and trackers that keep his commitments visible, capturing action items and chasing them to completion, preparing briefing packets and agendas, acting as the front door for his office, and owning travel and expenses. Someone who is polished, calm, and service-oriented, who anticipates what's needed before being asked and sees things through to the end, and who is low-ego but comfortable politely holding the line with senior people inside and outside the firm. The growth here is in scope and influence, working directly alongside a co-founder with the freedom to build the office's systems your own way, including with AI tools. This is an in-office role, 5 days/week, based in San Francisco's Presidio. 180-220K DOE + bonus, fully covered benefits, 401K with match, flexible PTO, and daily lunch.
Responsibilities:
- Own a complex, fast-changing calendar, resolve conflicts, protect priority time, and make sure the President is prepared for every meeting.
- Act as a thought partner on how his time is spent, mapping priorities across the year rather than taking direction meeting by meeting.
- Build and maintain dashboards and trackers covering open items and firm initiatives, and keep them current without being asked.
- Capture action items from meetings, chase owners, flag anything at risk of slipping, and write regular status summaries.
- Prepare briefing packets and agendas, and make sure materials from internal teams arrive on time and in a consistent format.
- Handle logistics for partner meetings and LP events.
- Serve as the front door to the President's office, sorting and routing incoming requests and drafting routine correspondence.
- Own domestic and international travel coordination and expense reporting.
- Provide proactive in-person support throughout the day, including walking him to meetings with printed agendas and materials in hand.
- Grow into managing his inbox over time as trust and familiarity build.
- Handle occasional personal administrative items with discretion.
Qualifications:
- Previous 8+ years of experience supporting C-suite executives, founders, or senior partners as a senior executive assistant, administrative chief of staff, or business manager. A bachelor's degree is required.
- Finance background strongly preferred, ideally private equity, venture capital, hedge fund, or investment management.
- A systems mindset, with demonstrated experience building trackers and dashboards in Excel, Asana, or a CRM and keeping them current independently.
- Excellent written and verbal communication skills, particularly short, clear briefing materials and summaries.
- Proactive and solutions-oriented with an instinct to anticipate needs rather than wait for direction.
- Strong strategic calendaring skills with the ability to assess priorities and make judgment calls on scheduling without being asked.
- Polished, calm, and service-oriented, bringing structure and steadiness to a demanding schedule.
- Low-ego and adaptable when priorities shift, while comfortable politely holding the line with senior stakeholders inside and outside the firm.
- Strong Outlook, Excel, and PowerPoint skills, plus working knowledge of AI tools such as ChatGPT and Claude.
- Sound judgment and complete discretion when handling confidential information.
- A genuine team player who builds strong relationships across an established assistant team.
