SCOPE
The Project Coordinator supports the engineering department in the planning, coordination, documentation, and execution of projects from initiation through completion.
This position is responsible for setting up and maintaining projects in internal systems, coordinating project documentation and materials, assisting with project schedules and Bills of Materials (BOMs), and communicating with internal departments, vendors, and customers as needed.
RESPONSIBILITIES
- Set up and maintain projects in ERP and other internal systems.
- Maintain accurate and organized project files and documentation in accordance with project and customer requirements.
- Prepare and coordinate final documentation packages and project closeout documentation.
- Assist Engineering department with day-to-day project coordination and execution.
- Assist with developing, maintaining, and tracking project schedules, milestones, and deadlines.
- Assist with Bills of Materials (BOMs), material takeoffs, and coordination with Procurement.
- Track material requirements, purchase orders, vendor information, and project-related deliverables as needed.
- Coordinate project activities and information between Engineering, Procurement, Fabrication, Assembly/Integration, Quality, and other departments.
- Communicate project status, documentation needs, material requirements, and schedule updates to appropriate team members.
- Assist with monitoring project costs, schedules, and changes and communicate potential impacts to the Project Manager.
- Coordinate with vendors, contractors, and customers as directed by the Project Manager.
- Help identify and resolve documentation, material, scheduling, and coordination issues that may impact project execution.
- Coordinate multiple projects, priorities, and deadlines simultaneously.
- Perform other duties as necessary to support successful project execution.
REQUIREMENTS
- Previous experience as a Project Coordinator, Project Administrator, Project Assistant, or similar role.
- Experience in a production, manufacturing, fabrication, oil and gas, or industrial environment preferred.
- Experience with industrial equipment, piping systems, electrical/instrumentation components, or engineered products is a plus.
- Strong computer skills, including Microsoft Outlook, Word, and Excel.
- Proficiency with Adobe Acrobat.
- Experience working with ERP or project management systems preferred.
- Ability to read and understand project documentation, Bills of Materials, schedules, purchase orders, and related project information.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to communicate and coordinate effectively across multiple departments.
- Ability to prioritize responsibilities and manage multiple projects and deadlines.
- Self-motivated with a willingness to take ownership and do what is necessary to support successful project completion.
