Responsibilities

  • Coordinate and oversee daily administrative operations within the medical office to ensure that processes run smoothly.
  • Schedule patient appointments and manage calendars for medical staff.
  • Maintain and update patient records in compliance with privacy regulations including HIPAA and GDPR.
  • Process billing and insurance claims accurately and on time.
  • Serve as a primary point of contact for patients, addressing inquiries and resolving issues efficiently and professionally.
  • Ensure compliance with regulatory standards and assist with audits.
  • Manage the inventory of office supplies and schedule maintenance for medical equipment.
  • Assist medical professionals with behind-the-scenes administrative tasks, such as document preparation and correspondence.
  • Implement and improve administrative procedures for greater operational efficiency.
  • Collaborate with team members across departments to ensure optimal patient care.

Qualifications

  • Required:

    • Proven experience in medical administration or healthcare-related roles.
    • Proficiency in administrative and scheduling software (e.g., MS Office, EHR/EMR systems).
    • Excellent organizational and multitasking skills to handle a dynamic environment.
    • Strong communication and interpersonal skills, capable of working effectively with diverse populations.

Day-to-Day

  • Greet patients and families, ensuring they feel welcome and supported from the moment they arrive.
  • Efficiently manage incoming phone calls, emails, and in-person inquiries.
  • Oversee patient check-in and check-out procedures, ensuring that insurance information and appointments are correctly documented.
  • Maintain clear communication with medical staff regarding patient schedules, urgent updates, or workflow changes.
  • Manage medical records and prepare reports as requested by healthcare providers.
  • Review and process invoices, payments, and insurance claims, addressing discrepancies promptly.
  • Organize staff meetings, prepare agendas, and distribute minutes afterward.
  • Proactively identify opportunities to improve operational workflows and patient satisfaction.
