Your New Role…

The Production Coordinator plays a pivotal role in supporting Brand Solutions campaigns from pitch through to final delivery. Working closely with the Creative and Sales teams, they coordinate all aspects of production, ensuring timelines, budgets, resources and stakeholders remain aligned. The role supports a diverse range of projects, from smaller-scale and asset-supplied productions to high-value shoots, graphic-led projects and sales reels, across pitch, pre-production, production, post-production and delivery.

 

Your Role Accountabilities…

Production Scheduling

• Create and maintain detailed production schedules across multiple projects.
• Coordinate tasks, milestones and deadlines to ensure an efficient production workflow.
• Track project timelines, proactively identifying risks and finding solutions to keep projects on schedule.

 

Budget Management

• Develop and manage production budgets across a range of projects.
• Monitor and track expenditure, ensuring projects remain within agreed budgets.
• Identify cost efficiencies without compromising the quality of the work.
• Raise purchase orders and maintain accurate, up-to-date cost reports.

 

Pitch & Project Coordination

• Coordinate all aspects of a project from initial pitch through to final delivery.
• Support Creative and Sales teams during the pitch process, providing production timings, indicative costs and feasibility guidance.
• Book and manage production resources including production companies, graphic designers, storyboard artists, talent, voice-over artists, post-production facilities, crew, equipment, props and wardrobe.
• Liaise with Legal on the creation and approval of contracts and production documentation.
• Support the onboarding of new vendors through relevant finance and procurement systems.
• Maintain clear project documentation and ensure key actions, approvals and deliverables are tracked throughout the production process.

 

Shoot Coordination

• Coordinate shoot requirements including production partners, locations, crew, equipment, catering, wardrobe and casting.
• Support and coordinate production activities on set, helping ensure shoots run smoothly, efficiently and to schedule.
• Act as a key point of contact between internal stakeholders and external production partners throughout the production process.

 

Approvals & Delivery

• Coordinate internal, client and external approval processes to ensure assets progress efficiently through production.
• Manage the delivery of final assets, ensuring they meet agreed specifications, deadlines and platform requirements.
• Work closely with relevant teams to ensure all necessary approvals and deliverables are completed prior to launch.

 

Team Collaboration

• Collaborate closely with Creative and Sales teams to ensure clear communication and alignment throughout each project.
• Liaise with internal stakeholders and external vendors to ensure projects are delivered smoothly and on time.
• Facilitate collaboration through regular project updates, status meetings and clear communication across stakeholders.

 

Qualifications & Experience…

• 1-2 years’ production experience within media, advertising, a creative/digital agency or similar environment.
• Strong organisational skills, with the ability to manage multiple projects, complex schedules and tight budgets simultaneously.
• Excellent communication and stakeholder-management skills, with confidence working across Creative, Sales and external production partners.
• Strong problem-solving skills and the ability to remain calm and solutions-focused under pressure.
• Excellent attention to detail across budgets, schedules, contracts, approvals and final deliverables.
• Flexibility and adaptability within a fast-paced, deadline-driven production environment.
• Strong Microsoft PowerPoint skills, with the ability to support the creation of polished pitch and presentation materials, would be advantageous.

Hybrid Working - This role is advertised as a Hybrid work model, that combines remote and in-office work, following our current company policy and to be agreed with your Line Manager. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement where this is essential to business needs and upon reasonable notice to you.
