The Operations Coordinator is responsible for owning and optimizing operational processes across teams. This role manages end-to-end workflows, drives data analysis and reporting, and identifies opportunities to improve efficiency, quality, and performance.
In this role, you will spend the majority of your time managing operational processes, analyzing data to support decision-making, and collaborating with stakeholders to improve workflows and outcomes. The Operations Coordinator serves as a key contributor to operational effectiveness and begins to act as a subject matter resource within the team.
Principal Responsibilities:
End-to-End Process Ownership
- Own and manage end-to-end operational processes, ensuring consistent and high-quality execution
- Monitor process performance, identify issues, and implement solutions to improve outcomes
- Ensure alignment of workflows across teams and stakeholders
- Maintain accountability for process accuracy, timelines, and deliverables
Data, Reporting & Insights
- Develop, maintain, and analyze operational reports and dashboards
- Interpret data to identify trends, risks, and opportunities for improvement
- Provide actionable insights to support operational and business decision-making
- Ensure integrity, accuracy, and consistency of data across systems and reporting
Cross-Functional Collaboration & Coordination
- Partner with internal stakeholders to align processes, priorities, and execution
- Act as a primary point of contact for assigned processes or operational areas
- Facilitate communication across teams to resolve issues and improve workflows
- Support alignment between operational execution and business objectives
Documentation, Training & Knowledge Leadership
- Own and maintain operational documentation, process maps, and training materials
- Support onboarding and training efforts for new or updated processes
- Contribute to development of best practices and standard operating procedures
- Act as a resource for team members on process-related questions and guidance
Quality, Compliance & Risk Management
- Ensure adherence to operational standards, policies, and regulatory requirements
- Monitor workflows for quality, consistency, and compliance
- Identify risks and escalate issues as needed
- Support audit processes and ensure proper documentation and controls
Process Improvement & Optimization
- Identify, prioritize, and lead process improvement initiatives
- Analyze workflows to improve efficiency, reduce errors, and enhance outcomes
- Support implementation of new tools, systems, or operational changes
- Contribute to continuous improvement efforts across the organization
Project & Initiative Ownership
- Lead or support operational projects and cross-functional initiatives
- Manage timelines, deliverables, and stakeholder communication
- Track progress and ensure successful execution of project objectives
Stakeholder Partnership
- Build strong working relationships across teams and functions
- Provide proactive communication, updates, and recommendations to stakeholders
- Support a high-quality and consistent stakeholder experience
Other Duties as Assigned
- Perform additional operational, administrative, system, documentation, reporting, or support responsibilities based on business needs.
- Support special projects, workflow transitions, process clean-up efforts, system implementations, coverage needs, and cross-functional requests.
- Remain flexible as operational priorities, client requirements, technology, and department responsibilities evolve.
Education and Certifications:
- Required: High School Diploma or GED
- Preferred: Bachelor’s degree in Business, Operations, Communications, or a related field
Required Experience:
- 4–6 years of experience in operations, program coordination, or a related field
- Demonstrated experience owning and managing operational processes or workflows
- Strong analytical skills with the ability to interpret data and provide insights
- Experience developing and maintaining reports, dashboards, or operational metrics
- Proven ability to identify and implement process improvements
- Strong organizational, problem-solving, and time management skills
- Ability to work independently and manage multiple priorities
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Demonstrated ability to utilize AI-enabled tools to support data analysis, reporting, and workflow optimization
Preferred Experience:
- Experience leading process improvement or operational initiatives
- Experience working with CRM systems, reporting tools, or operational platforms
- Experience supporting cross-functional teams or business units
- Experience in a fast-paced or growth-oriented environment
- Experience using AI tools to enhance analysis, reporting, and operational efficiency

Location:
- This role is hybrid for candidates located within a reasonable commuting distance to our Edmond, OK or Frisco, TX offices. Candidates outside a reasonable distance from either office are eligible for a fully remote arrangement.
Compensation:
- The expected base hourly range for this position is $24.00 to $27.00 per hour. The final compensation offered will be determined based on a number of factors, including but not limited to skills, qualifications, experience, and location.
