What this job involves
As a Receptionist, you represent the first point of contact for visitors, employees, and external partners on our client floors. In this versatile position, you coordinate the reception area professionally and actively support the organization of events as well as administrative processes. You will help ensure the workplace operates efficiently while creating a positive and professional experience for everyone who enters the office. Success in this role requires strong interpersonal skills, attention to detail, sound judgment, and the ability to adapt quickly to changing priorities throughout the day.
Flexibility working in shifts to cover hours are 8am to 6pm with this role commencing at 1pm on a regular basis. This role requires flexibility to change shifts as required.
What your day-to-day will look like
Front-of-House & Guest Experience
Act as the first point of contact for visitors, employees, and external partners, always delivering a professional and welcoming front-of-house experience.
Manage visitor arrivals, sign-in processes, access coordination, and hospitality support in accordance with workplace procedures.
Maintain presentation standards across reception, meeting rooms, and shared workplace areas by monitoring conditions and escalating issues where required.
Support meeting room bookings, room readiness checks, and workplace experience activities to assist daily business operations.
Respond to general workplace enquiries and direct requests to the appropriate workplace, facilities, or business contacts.
Event & Meeting Support
Support internal meetings, client visits, and workplace events through coordination of room bookings, catering requests, visitor hospitality, and meeting room readiness.
Assist with room setup, presentation readiness, audio visual coordination, and post-meeting reset activities.
Communicate with meeting hosts and workplace contacts to support smooth meeting and event delivery.
Escalate technology, room setup, or operational issues to the relevant support teams where required.
Facilities & Workplace Operations
Provide administrative support for workplace operations, including maintaining workplace records, registers, and documentation accurately.
Assist with courier coordination, ad hoc mailroom support, invoice and purchase order administration, scheduling, and general workplace administration activities to support daily office operations.
Mailroom & Administrative Support
Provide administrative support for workplace operations, including maintaining records and documentation, coordinating couriers and ad hoc mailroom support, and assisting with invoice processing, purchase orders, scheduling, and general office administration.
Vendor & Contractor Coordination
Coordinate vendor and contractor access requirements, support scheduled service visits, and escalate workplace or operational issues to the appropriate Workplace or Facilities Management contacts while maintaining professional relationships with vendors and building management teams.
Health, Safety & Compliance
Support workplace health, safety, and security procedures by reporting hazards, incidents, and unsafe conditions in line with workplace processes.
Assist with maintaining workplace safety documentation, emergency registers, workplace inspections, and compliance activities while promoting safe workplace practices and escalating concerns where required.
Systems & Reporting
Maintain accurate workplace records, systems, registers, and tracking tools to support workplace requests, visitor management, reporting, and operational activities.
Use workplace systems and Microsoft Office applications effectively while maintaining confidentiality and professionalism when handling workplace and visitor information.
Stakeholder Management
Build positive and professional relationships with employees, visitors, clients, vendors, and workplace stakeholders through responsive customer service and effective communication.
Respond promptly to workplace enquiries, escalate unresolved matters appropriately, and demonstrate professionalism, reliability, and adaptability in a fast-paced corporate environment.

Previous experience in reception, customer service, hospitality, workplace support, or corporate office environments preferred.
Strong verbal and written communication skills with a professional and approachable manner.
Well-organized with the ability to manage multiple tasks, prioritize requests, and respond effectively in a busy workplace environment.
Proactive and customer-focused with strong attention to detail and the ability to follow workplace procedures and processes.
Able to work independently within established procedures while collaborating effectively with workplace and business teams
