Job Description:
JOB SUMMARY
The Program Assistant is responsible for administrative support and data entry to support program delivery through daily interaction with field technicians, office staff and management.
ESSENTIAL DUTIES & RESPONSIBLITIES
Process and track technician paperwork in scheduling software. Respond to inquiries about scheduling and work in progress.
Distribute daily assignment schedules to technicians and job site contacts as needed.
Track project progress and end of appointment project surveys as required by utility.
Assemble necessary paperwork for programs and ensure all paperwork is readily available for staff by keeping paperwork stations stocked.
Maintain templates for job production and sampling (i.e. letter templates schedule template, etc.).
Create, track and maintain digital and paper project folders.
Prepare, maintain and distribute reporting as directed.
Design and maintain spreadsheets, forms, and presentations as directed.
Order and monitor office supplies to reorder as needed.
Attend weekly team meetings, record minutes, and distribute as directed.
Provide program support for other departments and projects as needed.
Perform other duties as assigned.
REQUIREMENTS & QUALIFICATIONS
High school diploma or equivalent required.
Prior experience as a program assistant or similar position.
Strong organizational, problem solving and prioritization skills necessary.
Strong communication, both verbal and written, and relationship-building skills.
Strong attention to detail and data validation skills while maintaining accurate documentation required.
Ability to manage multiple priorities in a fast-paced environment and adapt to change when needed.
Ability to work a flexible schedule.
Proven ability to meet objectives.
Perform the essential functions and physical demands of the position with or without accommodation.
Strong Microsoft Office Suite and other computer knowledge and skills required.
Ability to master additional CRM and information management tools as needed.
WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
Prolonged periods of sitting while working on a computer.
Frequent use of hands and fingers for typing, writing, and handling office equipment.
Ability to view computer screens for extended periods.
Occasional standing, walking, and reaching within the office environment.
Ability to lift and carry objects (up to 15 lbs.), such as files, documents, or office supplies.
Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone.
The employee is not substantially exposed to adverse environmental conditions.
Pay Range:
$45,300.00 - $61,230.00The final pay offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience within the job, the type of years and experience within the industry, education, certifications, etc.
