Description
Sincere is looking for an enthusiastic, resourceful Executive Assistant to join our growing team. You’re organized, dependable, and someone who gets satisfaction from making things happen. Whether you’re coordinating a project, figuring out a last-minute change, or tackling an everyday task, you bring energy, care, and follow-through.
Reporting to our Senior Executive Assistant, you’ll help support our Executive Team across a wide variety of Company responsibilities and personal tasks. This is an entry-level opportunity well suited to a recent graduate or someone early in their career. You don’t need previous executive assistant experience—we’re looking for initiative, good judgment, and a willingness to learn. You’ll receive guidance while building your skills and taking on more responsibility along the way.
This role requires 3–4 days per week in person at our office in Framingham, MA, with occasional flexibility based on business and personal needs.
In this role, you will:
- Support our Senior Executive Assistant with day-to-day administrative, business, and personal responsibilities for our Executive Team.
- Assist with planning and setup for Team meetings and travel Summits.
- Support our “Sincere Spirit” team with holiday celebrations and team activities throughout the year.
- Help keep our workplace welcoming, organized, and stocked with office supplies, pantry essentials, and team merchandise.
- Help resolve basic office technology issues and coordinate with vendors when additional support is needed.
- Support additional departments (Finance, Accounting, Operations) as needed, giving unique insight into all facets of the company.
- Learn to anticipate needs, keep track of details, and follow tasks through to completion.
- Help research and book executive and family travel, including flights, accommodations, transportation, and itineraries.
- Handle household tasks and errands as needed, including shopping, returns, donations, appointments, and coordinating deliveries and installations.
- Research service providers, schedule appointments, and follow up with vendors to keep requests moving.
You have:
- A strong work ethic and examples of taking initiative—whether through school, internships, part-time jobs, volunteering, or extracurricular activities.
- A love of lists, organization, and checking things off. You have a system for keeping track of what needs to get done.
- Attention to detail and a willingness to double-check your work.
- Clear, thoughtful communication. You listen closely, take notes, and ask questions when you need clarification.
- A proactive attitude. When you notice something that needs attention, you’re ready to help.
- Resourcefulness and curiosity. You enjoy figuring things out and knowing when to ask for support.
- Comfort with everyday technology and an eagerness to learn new tools and systems.
- Openness to feedback and the flexibility to adjust when plans or priorities change.
- Good judgment and an understanding that personal and Company information must be handled with discretion.
- A caring, dependable personality and a great sense of humor. Hey, it’s not all about work, you know!
- Reliable transportation and the flexibility to run local errands as needed.
- Comfort working in an environment where personal and professional responsibilities overlap, including occasional interactions with children and pets.
