The Opportunity:

We are seeking a detail-oriented and customer-focused Scheduling Assistant to join our team. The ideal candidate will manage appointment scheduling, patient communications, and related administrative tasks to ensure smooth and efficient operations in Home Health Care. This role is essential for providing an excellent patient experience and supporting clinical staff in delivering high-quality care.

Your responsibilities will include:

Scheduling and Coordination

• Schedule, reschedule, and cancel patient appointments, including follow-ups and diagnostic tests.
• Coordinate with physicians, nurses, and other healthcare professionals to optimize scheduling and resource allocation.
• Maintain an up-to-date calendar and manage time-sensitive changes.

Patient Interaction

• Communicate effectively with patients via phone, email, or in person to confirm appointments and provide the necessary information.
• Answer patient inquiries regarding appointment times, procedures, and preparation requirements.
• Ensure patients receive appointment reminders and instructions in a timely manner.

Administrative Duties

• Verify and update patient information, including insurance details and contact information, during the scheduling process.
• Document all scheduling activities in the electronic medical record (EMR) system accurately and promptly.
• Work with billing staff to ensure proper coding and authorization for scheduled services.

Problem-Solving

• Resolve scheduling conflicts and last-minute changes efficiently while maintaining patient and staff satisfaction.
• Escalate complex issues to the appropriate personnel as needed.

Compliance and Confidentiality

• Adhere to HIPAA guidelines and maintain the confidentiality of patient information.
• Ensure compliance with clinic policies and procedures regarding scheduling and patient care.

To succeed in this role you will need:

• Strong organizational skills with attention to detail.
• Excellent communication and interpersonal skills.
• Proficiency in using EMR systems and scheduling software.
• Ability to multitask and work efficiently in a fast-paced environment.

Service Fee:

Industry standards applicable to the state depending on work experience and level of expertise.

Hours:

US Eastern Standard Time (EST) – 9am to 6pm
