As Facilities Coordinator, you'll be the go-to presence behind the scenes of a client's workplace — keeping daily operations, vendors, budgets, and health & safety running smoothly. You'll work across teams, from IT to security to the kitchen, to make sure every part of the office experience meets a high standard. It's a role built for someone who likes variety, takes ownership, and finds satisfaction in solving problems before anyone else notices them. What You'll Do
- Be the first point of contact for guests, visitors, and employees, resolving day-to-day issues across workstations, meeting rooms, and building services
- Own the CMMS ticketing system, converting requests from any channel into tracked tickets and resolving them within agreed SLAs
- Coordinate maintenance activities and inspections, flagging and escalating compliance issues related to health, safety, and fire codes
- Support financial processes — tracking site spend against budget and raising or receipting purchase orders
- Manage and audit on-site contractors and vendors, building a collaborative approach to service delivery
- Coordinate special events and on-site vendor setups in support of the client or JLL
- Track KPIs and prepare regular reports (monthly, quarterly, annual) that feed into continuous improvement
- Identify and act on cost-saving opportunities and operational improvements across the site
What We're Looking For
- A genuine customer-service mindset and comfort engaging with stakeholders at every level, including senior leadership
- Strong organizational skills and the ability to juggle multiple priorities without losing sight of detail
- A proactive approach — someone who spots a problem and follows through on the fix rather than waiting to be asked
- Comfort working with numbers, budgets, and purchase orders
- An eye for compliance and safety, with the discipline to keep accurate, up-to-date records
- Confidence coordinating with vendors and contractors to keep standards high
- Clear communication skills, both written and verbal, across departments and cultures
- A collaborative, can-do attitude and willingness to take ownership of outcomes
