Description

About Translated

Translated is where technology and humanity meet to create global understanding. Founded in 1999 by a linguist and a computer scientist, we are on a mission to allow everyone to understand and be understood in their own language.

We envision a world where people from different cultures can communicate seamlessly, with unprecedented access to knowledge, cultural exchange, and business opportunities.

To make this possible, we combine a network of over 500,000 vetted, native-speaking language professionals with a unique translation AI, Lara, capable of recognizing its limits and explaining its choices. Through an ecosystem of AI-powered translation tools (Matecat, Matesub, and Matedub), an enterprise localization platform ( TranslationOS), and an online translator (Lara Translate), we support more than 400,000 clients in 200 languages, helping people and organizations connect across cultures.

Everything we build reflects a simple principle: technology should amplify human potential, not replace it. Whether through a marketing campaign, an event, or a new process, every project at Translated contributes to a larger purpose: bringing people closer together through understanding.

Pi Campus embodies that vision: 8 villas surrounded by nature, designed to help people work with clarity, connect with others, and grow personally and professionally.

At Translated, you’ll join an international, collaborative environment where curiosity, creativity, and excellence are valued as much as results.

We believe in humans.

We are looking for a proactive mid-level Office & Event Specialist to ensure that our environment runs smoothly every day and that our villas are always welcoming and operational. This role sits at the intersection of operational excellence, community care, and strong problem-solving skills.

You will be the beating heart of the campus, the go-to person for resolving daily unexpected issues, the driving force behind our events, and the main coordinator for all our partners and vendors. You will create the ideal conditions for teams to do their best work by combining empathy, structure, and a proactive approach.

Key Responsibilities

Events & Community Experience

  • Plan, coordinate, and manage the logistics for corporate events and monthly gatherings.
  • Bring our people programs to life,  from team-building and volunteering initiatives to wellness and health campaigns, turning ideas into well-run, engaging experiences on campus.
  • Manage end-to-end pre- and post-event logistics - coordinating with catering, cleaning, and maintenance teams for space setup and breakdown - to deliver seamless experiences for employees and guests.

Office Activities & Operations

  • Act as one of the primary points of contact for all villa needs and malfunctions, promptly managing and routing tickets through dedicated corporate channels and task boards.
  • Ensure a smooth and welcoming onboarding experience for new hires by coordinating their initial workspace and equipment setup, and leading campus orientations and daily guidelines.
  • Oversee end-to-end travel logistics for employees, guests, and corporate gatherings, managing flights, accommodations, visa applications, and travel insurance.
  • Resolve daily logistical hurdles, ranging from hardware and printer support to national and international shipping.
  • Manage end-to-end hardware operations for our employees, from tracking inventory and procuring approved devices and accessories, to handling initial device setup and testing prior to handover or shipping, while also coordinating with external IT partners to troubleshoot everyday PC issues and manage hardware repairs with authorized support centers.

Vendor Management & Facility Support

  • Manage daily facility operations by coordinating interventions and maintaining relationships with a wide network of external vendors and companies (cleaning, gardening, alarm maintenance, water/coffee distributors, waste disposal, and pest control).
  • Constantly monitor villa consumption and manage supplies (groceries, stationery, fruit, equipment), avoiding waste and placing orders within the allocated budget.
  • Ensure that the products used by vendors (e.g., soaps, detergents) align with corporate sustainability and ESG policies.
  • Manage corporate agreements (gyms, wellness centers, hotels) and coordinate wellness professionals operating on campus, such as massage therapists and personal trainers.
  • Support the administration team by tracking costs for the budget and managing invoices and payments for vendors and trainers.

Requirements

  • 2–4 years of experience in Office Management, Facility Management, or event organization within dynamic and international companies.
  • Bachelor’s degree required, ideally in Business Management, Hospitality/Event Management , or Languages and Communication.
  • Proven track record in organizing corporate and non-corporate events, as well as managing budgets.
  • Demonstrated ability to manage vendors, budgets, and cross-functional relationships effectively.
  • Excellent problem-solving skills and the ability to handle daily unexpected events with a calm, practical, and proactive approach.
  • Excellent organizational, coordination, and prioritization skills to handle administrative, logistical, and relational tasks simultaneously.
  • Strong interpersonal skills, emotional intelligence, and a genuine passion for supporting people.
  • Fluency in Italian and English (minimum C1 level) to collaborate effectively in an international team.

Application Process

We will conduct an initial screening based on the information you provide about yourself and your experience. Candidates whose profiles align with the job requirements will be contacted for an initial introductory call. Successful candidates will then be invited to an interview to discuss their experience.

If everything goes well, we will make you an offer to join our team.

Our Offer

Depending on expertise, the offered salary typically ranges between €25.000,00 and €30.000,00. Compensation generally grows quickly as experience leads to greater contributions. Exceptionally strong candidates may be offered salaries above this range to acknowledge their higher potential impact.
