What You Will Do:
The Investor Services Manager will lead the investor servicing function, overseeing the team responsible for managing external client and investor requests. This role requires a seasoned investor services professional with a minimum of seven (7) years of operational or financial services experience in the fund accounting industry, including experience managing or mentoring junior staff. The ideal candidate brings strong leadership, sound judgment on complex or escalated investor matters, and the ability to build and maintain CRM-driven processes at scale.
Responsibilities:
- Oversee the upload and maintenance of all documents on the investor portal, and ensure timely, accurate correspondence to investors across the team
- Manage the end-to-end process for investor and client requests, providing quality review and final approval on sensitive items
- Oversee review of contact change requests, ensuring appropriate approval protocols are followed and escalating discrepancies as needed
- Ensure the communication grid and CRM system/investor portal are consistently accurate and up to date across the team
- Set and enforce standards for document collection and verification; serve as the escalation point for discrepancies or issues
- Own the verbal confirmation process for investor wire instruction updates, including oversight of controls to prevent errors or fraud
- Maintain accountability for the accuracy of the communication grid and CRM system/investor portal firm-wide
- Review and approve contact reports generated for client requests, and manage client expectations on turnaround
- Oversee completion of audit confirmations and DDQs, ensuring quality and timeliness across the team
- Serve as the primary point of escalation and relationship owner for client and fund admin partnership on investor services matters
- Manage, coach, and develop investor services staff, including training on process, systems, and client service standards
- Identify and lead process improvement initiatives to increase efficiency and scalability of the investor services function
- Lead or oversee ad-hoc projects, taking ownership of outcomes and reporting to senior stakeholders as needed
What You’ll Need:
- Minimum of seven (7) years of operational or financial services experience in the fund accounting industry, with demonstrated experience leading or mentoring a team
- Proficient in Microsoft Word, Excel, Adobe Acrobat, Outlook, PowerPoint, and CRM applications
- Strong leadership and people management skills, with the ability to develop staff and manage performance
- Excellent attention to detail, time management, analytical skills, and organizational ability, with the judgment to prioritize across a team's workload
- Strong oral and written communication skills, including experience managing client relationships and difficult conversations
- Ability to lead through ambiguity and drive process improvement in a dynamic environment
- Familiarity with entity documents (i.e., Trust/LLC/Corp/Partnership)
Salary Range
At Petra Funds Group, we are committed to transparency and equity in our hiring practices. The compensation range for this position is $102,000 - $153,000 per year. This range represents the base salary only. Actual pay will depend on factors such as qualifications, experience, and skills.
