Overview

The Administrative Assistant II serves as a trusted member of the Office of Intelligence and National Security, providing comprehensive administrative, operational, and security support to OINS leadership and staff. This individual will ensure the efficient execution of daily office operations while safeguarding classified information, coordinating executive activities, maintaining records, and supporting secure facility operations in accordance with established federal policies and procedures.

Background

Ardent Eagle Solutions is seeking a highly organized and security-conscious Administrative Assistant II to support the Department of Commerce's Office of Intelligence and National Security (OINS). OINS serves as the Department's Federal Intelligence Coordination Office, providing intelligence coordination, executive support, and secure facility operations that enable informed decision-making in support of U.S. economic and national security objectives.

 

This position provides executive-level administrative and operational support within a secure environment, assisting leadership with scheduling, correspondence, classified records management, visitor coordination, and daily office operations while maintaining strict compliance with federal security policies and classified information handling requirements.

Responsibilities

The successful candidate will:

  • Provide executive administrative support to OINS leadership, including calendar management, meeting coordination, scheduling, and correspondence.
  • Answer, screen, and route telephone calls and electronic communications professionally and efficiently.
  • Coordinate executive calendars and assist with day-to-day management activities.
  • Support visitor processing by coordinating identity verification and security clearance screening.
  • Prepare, organize, reconcile, maintain, and track classified and unclassified paper and electronic records.
  • Perform records management activities and document security checks using established procedures.
  • Coordinate physical security, communications security, and information security administrative activities.
  • Prepare memoranda, reports, correspondence, training materials, and other administrative documentation.
  • Coordinate office supplies, equipment inventories, maintenance activities, and training requirements.
  • Track internal and external correspondence, action items, and organizational requests.
  • Properly mark, maintain, safeguard, and disseminate classified materials in accordance with applicable laws, regulations, and agency policies.
  • Support secure meeting and briefing activities within classified workspaces.
  • Maintain professionalism, discretion, and confidentiality while interacting with senior government officials and stakeholders.
  • Perform additional administrative and operational duties as assigned.

Qualifications

Qualified candidates should possess:

  • Candidates must possess a minimum of three (3) years of relevant professional administrative support experience in addition to the required degree.
  • Active Top Secret security clearance.
  • Previous Sensitive Compartmented Information (SCI) eligibility with crossover eligibility into applicable compartments.
  • U.S. Citizenship.
  • Experience providing executive or senior-level administrative support in a federal or defense environment.
  • Experience working with classified and unclassified documentation.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently with minimal supervision while managing multiple competing priorities.
  • Demonstrated professionalism, discretion, and sound judgment when handling sensitive information.
  • Strong customer service and interpersonal skills with the ability to communicate effectively at all organizational levels.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Typing proficiency of approximately 50–60 words per minute.

Preferred Qualifications:

Preference may be given to candidates with:

  • Prior experience supporting intelligence, national security, or executive leadership organizations.
  • Experience working within Sensitive Compartmented Information Facilities (SCIFs).
  • Familiarity with classified records management and document accountability procedures.
  • Knowledge of federal security policies, NISPOM requirements, and classified information handling procedures.
  • Experience coordinating visitor control and security access procedures.

Education

  • Bachelor's degree from an accredited college or university is required.
  • Candidates must possess a minimum of three (3) years of relevant professional administrative support experience in addition to the required degree.
  • Advanced degrees (e.g., Master's degree) are acceptable and may enhance a candidate's qualifications.

Location and Work Hours

Washington, DC (Herbert C. Hoover Building)

 

This position is primarily performed on-site within a secure government facility. Due to the classified nature of the work, routine telework is not anticipated. Limited remote work may be authorized by the Government on a case-by-case basis.

 

Work Schedule:

  • Monday through Friday
  • Standard business hours are generally 9:00 AM – 5:30 PM
  • Candidates should be flexible to support operational requirements between approximately 8:00 AM and 6:30 PM as needed.

Compensation

Salary Range: $65,000 - $85,000 annually

 

Compensation will be commensurate with the selected candidate's qualifications, relevant experience, and overall fit for the position.
