The position / About the Job:

In this job the Shipping Assistant would be responsible for:

Key Tasks and responsibilities:

• GMU Machine Dispatch- First received Plan from OH then change the status in Movex generate packing list if any addition line in OA packing list to be send to Stores Make machine ready with all spares and offer for Inspection after Inspection pack the machine take a size and weight of packed machine prepare final packing list, order booking, VGM according to that and send it to O2C team. Second day load the consignment prepare gate pass E way bill and carriers documents along with Invoice Take a sign on packing list scan and file with all related documents.

• GMU Parts Dispatch - First received Plan from OH then change the status in Movex generate packing list and send to Stores second day collect spares from Stores offer for Inspection after Inspection pack the spares in plywood box take a size and weight of packed spares prepare final packing list, order booking, VGM according to that and send it to O2C team. Second day load the consignment prepare gate pass E way bill and carriers documents along with Invoice; file all related documents.

• GMU Free Supply Dispatch- First received Plan from OH then change the status in Movex generate packing list and send to Stores second day collect spares from Stores offer for Inspection after Inspection pack the spares in plywood box take a size and weight of packed spares prepare final packing list, order booking, VGM according to that and send it to O2C team. Second day load the consignment prepare gate pass E way bill and carriers documents along with Invoice; file all related documents.

• Local Machine Dispatch- First received Plan from OH change the status in Movex generate packing list if any addition line in OA packing list to be send to Stores Make machine ready with all spares and offer for Inspection after Inspection pack the machine take a size and weight of packed machine prepare final packing list, send it to O2C team. Take freight quotations from 2/3 transporters take freight approval from customer ,load the consignment prepare gate pass E way bill and carriers documents along with Invoice Take a sign on packing list scan and file with all related documents

• Local parts Dispatch -First received Plan from OH then change the status in Movex generate packing list and send to Stores second day collect spares from Stores offer for Inspection after Inspection pack the spares take a size and weight of packed spares; prepare final packing list and send it to O2C team. Ask transporter/ courier to collect and deliver to customer. prepare gate pass E way bill and carriers documents along with Invoice; file all related documents.

• Local Free supply Dispatch- First received Plan from OH then change the status in Movex generate packing list and send to Stores second day collect spares from Stores offer for Inspection after Inspection pack the spares take a size and weight of packed spares; prepare final packing list. Ask transporter/ courier to collect and deliver to customer. prepare gate pass E way bill and carriers documents along with Invoice; file all related documents.

• MTN Dispatch to Talegaon - Received Plan from OH ,collect spares from Stores offer for Inspection after Inspection pack the spares take a size and weight of packed spares. Ask transporter to collect and deliver to Thane. prepare gate pass E way bill and carriers documents; file all related documents.

• Transfer of machine From HSS to AMM & HSSM- First received Plan from OH then change the status in Movex generate packing list. Collect set of tool MSK ISK LSK Bowl and make machine ready with all spares and offer for Inspection after Inspection arrange to deliver the M/c along with spares to AMM/ HSSM

• Transfer of spares from HSS to AMM & HSSM- Received Plan from OH then change the status in Movex generate packing list and send to Stores second day collect spares from Stores deliver spares to  AMM & HSSM.

• Put away of all Finished Good\Maintain records of all documents till 5 Years.

• Procurements of Packing Material  (Plywood, Pinewood, Rubberwood, Other packing material)

• Transportation -- From Dapodi Pune to Sea Port & Airport, Pune to Thane; Local customer / courier.

• Follow-up with sales for Dispatches

• Preparation of E Way Bill

• Coordinate and support the daily work of the team/shift

• Monitor processes and performance in the team

• Be a link between the team, support functions and TM

• Develop and have good knowledge of the key processes and tools within the area

• Close competence gaps by training/ coaching and run audit dialogue in SOP

• Control of quality, deviations and line stops together

• Focus on waste elimination and improvements

• Make and follow up detailed plan for the cell/area

• When needed support operators/team members with immediate problem solving

• As process owner be responsible for:

  safety + HSE

  quality

  delivery cost

EMS & OHSAS Requirements:

• Educate each workman as to what the hazards are on his job and how to prevent them. Impart to each employee the understanding that violation of safety rules will not be acceptable.

• Ensure that needed Personal Protective Equipment (PPE) and protective devices are provided and used for each job.

• Take prompt corrective action whenever unsafe conditions and unsafe acts are noticed.

• Impress upon the employees how accidents / incidents are caused and that they can be prevented.

• Investigate in-depth accidents resulting into injury or property damage or creation of dangerous condition.

• Ensure that all the injuries and property damage incidents are promptly reported detailing the corrective action plan in appropriate formats.

• Conduct regular safety inspection in the section, under control for unsafe conditions and unsafe acts, likely to lead to accidents or injuries. This includes checking all new and relocated equipment which may produce hazards that are unfamiliar to the operators.

• Ensure compliance with all applicable HSE procedures, regulations and instructions.

• Ensure that machines, equipment and installations are maintained in safe working conditions.

• Prepare HIRA, Aspect & impact, OCP for activities under their control.

• Regular monitoring of operational controls & maintain records for the same

• Give full support to all accident prevention and loss control activities and procedures.

Ensure that -

• Every employee works in safe manner and with the required protective devices, measures and procedures.

• Every employee uses appropriate personal protective equipment. (PPE)

• Take every precaution responsible in the circumstances for the protection of the employees & property.

Safety work permit to work is issued wherever and whenever required for carrying out work in the hazardous locations, departmentally or by any other department, agency or contract men.

Directly responsible for:

• Dispatch on time, Handover Documents to Excise & Impex  to effect Dispatch on time

• Ensure all Clear & Correct documents handover to Transporter & Container Freight Station Agent

• Safely material handover to CFS

• Damage Free Shipment For End Customer

• 7 R - Right product, Right quantity, Right condition, Right place, Right time, Right customer, and Right cost.

• Indirectly responsible for: 

• Correct Documents to Consignee,

• Follow all norms of Incoterms & Excise Guidelines
