What You’ll Do

• Prepare and submit statistical reports required by the Central Statistical Office (GUS) based on the Employer's HR and payroll data
• Ensure payroll documentation complies with applicable labor, tax, and social insurance regulations
• Maintain accurate payroll records and support compliance with internal policies and statutory requirements
• Prepare and issue employment- and payroll-related documents and certificates requested by employees (including employment contracts, contracts amendments etc.)
• Produce employment and earnings certificates, ZUS-related documentation, payroll confirmations, and other standard employment documents
• Prepare documentation supporting residence and work legalization processes for foreign employees within the scope of employment and remuneration information
• Maintain employee payroll documentation and ensure accuracy and confidentiality of personnel records
• PPK (Employee Pension Plan) administration
• Benefits administration
• Maintain comprehensive process documentation and operational guidelines
• Ensure payroll knowledge, documentation, and system access are transferred in a manner that supports business continuity and uninterrupted payroll operations
• Collaborate with internal stakeholders and external vendors to maintain consistent payroll service delivery
• Partner with HR Business Partners, HR Operations, Finance, Legal, Office Administration when needed, and external payroll providers to resolve payroll-related matters
• Provide payroll expertise and guidance to managers and employees regarding payroll administration and statutory requirements
• Participate in payroll improvement initiatives, process optimization, and implementation of new tools or procedures
• Support audits, internal controls, and compliance reviews related to payroll and HR administration

What You Bring

• Proven professional experience in payroll administration and HR operations
• Solid knowledge of Polish labor law, payroll regulations, taxation (employment related) , social insurance (ZUS), and statistical reporting (GUS)
• Experience preparing payroll documentation and statutory declarations
• Experience working with HRIS (Workday) and payroll systems
• Strong attention to detail and high level of accuracy
• Excellent organizational and analytical skills
• Ability to manage confidential information with discretion
• Strong problem-solving and communication skills
• Ability to collaborate effectively across HR, Finance, Legal, and external stakeholders
• Continuous improvement mindset with the ability to identify and implement process enhancements
• Proficiency in Microsoft Excel and HRIS/payroll systems

Nice to Have

• Experience collaborating with external payroll providers is an asset (Deel)
• Bachelor's degree in Human Resources, Business Administration, Finance, Accounting, or a related field preferred
• Payroll, HR, or accounting certifications are considered an advantage
