The Opportunity at a Glance
We're looking for a highly organized Operations Coordinator who thrives on creating order, improving processes, and keeping day-to-day operations running smoothly.
You'll be joining a growing Australian business specializing in premium catering, events, and hospitality services. Working directly with the founder, you'll become a trusted right-hand partner—bringing structure to operations, coordinating logistics, improving workflows, and ensuring nothing falls through the cracks.
How You'll Make an Impact
- Coordinate daily operations, administration, and business activities.
- Build, document, and continuously improve SOPs, workflows, checklists, and business processes.
- Support event planning by coordinating logistics, timelines, equipment, suppliers, and run sheets.
- Prepare client quotations, proposals, and business documentation.
- Manage financial administration using Xero, including invoicing, expense tracking, and reconciliations.
- Maintain organized digital records, documentation, and project files.
- Work closely with the business owner to prioritize tasks, improve efficiency, and keep projects moving.
- Identify opportunities to improve systems, organization, and operational processes across the business.
What We're Looking For – You're the Perfect Fit if You:
Non-Negotiable Requirements
- Open to PH-based applicants only.
- Proven experience in an Operations Coordinator, Operations Administrator, Executive Assistant, Office Manager, Events Coordinator, or similar operational role.
- Strong experience creating SOPs, workflows, systems, or operational processes.
- Hands-on experience using Xero for invoicing, reconciliations, expense tracking, and general financial administration.
- Excellent organizational and project coordination skills with the ability to manage multiple priorities.
- Experience preparing quotations, coordinating client administration, and maintaining accurate documentation.
- Strong proficiency in Microsoft 365, including Outlook, Excel, Teams, OneDrive, SharePoint, and other collaboration tools.
- Excellent written and verbal English communication skills.
- Able to work independently, take initiative, and proactively solve problems without constant direction.
What Sets You Apart – You'll Shine Even Brighter With:
- Experience supporting Australian businesses.
- Background in events, hospitality, catering, logistics, or service-based industries.
- Experience using project management platforms such as Microsoft Planner, Asana, Trello, ClickUp, or similar.
- Experience improving operational efficiency in a small or growing business.
- Strong commercial awareness with the confidence to recommend process improvements.
- Comfortable working closely with founders or business owners in a fast-paced environment.
Work Schedule & Employment Terms
Full-Time | Monday to Friday | Following Australian Business Hours
