ZS Corporate Support Teams operate the firm’s core internal enterprise functions. Administrative Services provides support services to ZS professionals as they complete their work. The administrative services team provides administrative support, travel planning, operations, catering coordination, and facilities management.
OPERATIONS ASSISTANT
We are seeking an organized, proactive, and detail-oriented full-time operations professional with strong interpersonal skills to support our Boston office. The Operations Assistant provides office services, facilities coordination, and general operational support, with additional responsibilities as assigned. This position reports to the Office Manager.
What you'll do:
- Manage inventory, place orders, and maintain appropriate stock levels for office and breakroom supplies
- Maintain breakroom by loading and unloading dishwashers, monitoring inventory, placing orders, and restocking supplies throughout the day as needed
- Maintain meeting rooms and shared workspaces by restocking supplies, erasing whiteboards, resetting equipment, and arranging chairs
- Coordinate setup, breakdown, and cleanup for office meetings and events
- Support internal office events, service initiatives, and special projects
- Process incoming and outgoing mail, packages, and deliveries
- Submit and track building maintenance requests
- Manage office ID card requests, including new activations and deactivations
- Complete office card expense reporting
- Run and distribute daily reports
- Support the new joiner onboarding experience
- Serve as a member of the fire/life safety floor team
- Provide back-up support for Front Desk reception, including answering phones, greeting visitors, and assisting with additional responsibilities as needed
- Hours are 7:30 am – 4:30 pm, with occasional overtime.
What you'll bring:
- High school diploma or some college preferred, minimum age of 16 required
- Prior work experience as an office assistant preferred
- Ability to lift 50 pounds
- Good time management skills, attention to detail, and flexibility
- Fluent in MS Office (Outlook Email/Calendars, Word, PowerPoint, Excel)
- Strong work ethic and initiative
- Maturity, the ability to follow instructions and to work independently
- Professional appearance and demeanor with ability to exercise good judgment and discretion
- Positive attitude and sense of humor.
