Salary: $2,300 - $3,000 USD/month (Depending on experience)

The Role
Our Client is seeking an exceptional, highly organized, and emotionally intelligent Executive Operations Coordinator to serve as the right-hand partner to the business owner. This is not a traditional executive assistant role; it is a high-impact, multi-faceted position that spans project coordination, executive support, market research, and vendor management. Rather than a passive task-taker, this professional functions as a true operations champion—adept at solving complex problems, tracking diverse moving parts across multiple industries, and ensuring critical business initiatives advance flawlessly without constant supervision.
Key Responsibilities
Executive Support & Strategic Coordination

Supervises the business owner's calendar, prioritizes incoming communications, and coordinates high-level appointments and meetings.

Organizes and maintains confidential digital files, corporate records, and reports with the highest level of professional discretion.

Arranges complex travel schedules and drafts critical meeting materials to optimize the owner's daily productivity.
Project Management & Vendor Architecture

Coordinates multiple active real estate and operational projects simultaneously, including multifamily communities, self-storage operations, a U-Haul franchise, business parks, and land development initiatives.

Tracks tight deadlines, identifies operational roadblocks, manages detailed action lists, and ensures all active projects stay strictly on schedule.

Communicates regularly with general contractors, architects, engineers, surveyors, attorneys, accountants, and government agencies to ensure all external commitments are met.
Research, Marketing Oversight & Digital Innovation

Conducts deep-dive internet research on vendors, construction products, commercial vehicles, real estate software, and emerging industry trends.

Prepares concise, strategic data summaries that deliver actionable business recommendations rather than just raw information.

Oversees external marketing efforts by tracking website performance, monitoring SEO vendors, maintaining Google Business Profile metrics, and utilizing advanced AI tools (such as ChatGPT) to accelerate content creation and productivity.
Qualifications, Skills and Key Competencies
Required Qualifications

Experience: Proven track record of success within a high-volume executive support, operations, project coordination, or corporate administrative workspace.

Software & AI Proficiency: High proficiency with Microsoft Office or Google Workspace (with strong spreadsheet skills), combined with hands-on experience utilizing AI productivity tools (e.g., ChatGPT) to optimize workflow efficiency.

Organizational Mastery: Exceptional self-direction, follow-through habits, and critical thinking skills, with a personality that thrives when managing multiple priorities with minimal supervision.

Research & Analysis Capabilities: Solid baseline comfort researching complex topics, analyzing vendors, and translating raw data into organized summaries with clear recommendations.

Language: Elite written and verbal English communication skills, backed by outstanding professional etiquette and a diplomatic communication style.

Prior remote support experience working inside integrated CRM platforms, website management modules, or digital marketing ecosystems.

Prior professional experience supporting a US-based platform within real estate, property management, construction, commercial development, or general contracting fields.
