Overview

The mission of the Office of Global Health in the Department of Internal Medicine is to address global health disparities through education and research, in partnership with institutions serving resource-limited communities in the US and around the world. 


Since its inception in 2009, the Office of Global Health has trained the next generation of health care leaders to incorporate critical perspectives on global health systems and the evolving global burden of disease into their future practice. We build equity-focused, mutually respectful, collaborative relationships with partner institutions to create opportunities for bidirectional capacity-strengthening and educational exchange. Additionally, our programs promote skill development related to enhancing cultural humility and collaboration, navigating ethical challenges, and addressing social, political, and environmental determinants of health. 

Under limited supervision and exercising sound, independent judgment and initiative, this position provides high-level and flexible administrative support to the leadership of the Office of Global Health.  This role serves as the primary coordinator and expert resource for partnering with universities across five international countries, acting as a point of contact for local and administrative staff.

Main areas of responsibility include:
1.    Hosting visiting faculty and trainees from international collaborating institutions. This role will act as the primary administrative point of contact prior to and during the visits, fostering a welcoming environment, resolving issues with support from supervisors, and navigating Yale systems to meet visitor needs. 
2.    Hosting special educational events for YSM Department of Internal Medicine faculty, trainees and visiting observers. These events occur throughout the year during workday and, occasionally, evening hours to meet the needs of the resident trainees. This role will act as the coordinator for event logistics.
3.    Administrative support for ongoing international and domestic collaborations/partnerships. This role is responsible for maintaining a professional working relationship with administrative staff and faculty at partner institutions across multiple international and domestic sites, and serve as the first administrative point of contact for troubleshooting and moving initiatives forward.
4.    Administrative support for Yale education programs. This role serves as the first point of contact for Yale trainees working at domestic and international partner sites when issues arise, proactively coordinating support to promote health and safety in conjunction with supervising faculty. 
5.    Core Office of Global Health administration activities. This role directs the daily operations of the office, managing and troubleshooting complex international financial transactions, applying expertise and judgment to resolve issues directly with partner administrators, and serving as the principal source of information on policies, procedures, programs, and office activities. 



Required Skills and Abilities
1. Exceptional organizational and multitasking skills, with the ability to prioritize and manage competing deadlines in a fast-paced environment. 
2. Strong written and verbal communication skills, including the ability to draft and edit documents and correspondence with accuracy and attention to detail. Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and familiarity with administrative software and systems. Familiar with WhatsApp.
3. Ability to handle sensitive and confidential information with discretion and professionalism. 
4. Prior experience leading and managing a team. Strong interpersonal skills, with the ability to build trust and work effectively with a diverse group of stakeholders.

5. Demonstrated ability to interact professionally with faculty, staff, and trainees from institutions in other countries, and the ability to proactively work with the Director to seek solutions to challenges, with the goal of ensuring the health, safety and wellbeing of Yale trainees and visitors.


Preferred Skills and Abilities

1. Master's degree in a related field

2. Prior experience within YSM and professional experience with Global Health

3. Event planning or meeting coordination experience; international travel arrangements

Principal Responsibilities

1. Assumes primary responsibility for a program, service, activity, operation or function in an assigned area. Develops objectives, practice and procedure and identifies resources to ensure accomplishment of operational goals. 2. Coordinates day-to-day operations in order to achieve designated goals. Ensures effective management and leads the development and implementation of best practices. 3. Designs and implements quality control metrics to identify areas of risk. Analyzes, recommends, and implements strategic solutions to minimize risk. 4. Develops a variety of complex report and other written materials. 5. Provides guidance to and collaboration with internal and external partners as necessary. 6. Develops, oversees and monitors budgets. 7. Develops and maintains specialized training. 8. Performs other duties as assigned. Required Education and Experience Bachelor’s Degree in related field and three years of related experience or an equivalent combination of education and experience.
