Description
Trinity School, a co-educational, K-12 institution located on the Upper West Side of Manhattan, seeks a full-time Advancement Associate beginning as soon as possible.
Reporting to the Chief Advancement Officer (CAO), the Advancement Associate provides direct administrative support to the CAO, coordinates the day-to-day operations of the Office of Advancement, and manages a portfolio of projects and operational responsibilities that strengthen the work of the office, increase the capacity of Advancement leadership, and evolve based on the interests and strengths of the successful candidate and the needs of the department.
As a trusted operational partner to the CAO and the Advancement team, the Advancement Associate is someone who enjoys bringing order to complexity, keeping projects moving, anticipating needs, and helping colleagues succeed. Success in this role comes from a combination of excellent organization, sound judgment, initiative, and a willingness to take ownership of both administrative responsibilities and operational projects.
Primary Responsibilities:
- Coordinate scheduling of departmental meetings and events with divisional and administrative offices and maintain these events on the School’s online calendars.
- Maintain the CAO’s schedule, coordinating with divisional and administrative offices and the School’s online calendars as necessary.
- Provide administrative support for the Advancement Directors as assigned by the CAO, such as supporting volunteer management efforts.
- Coordinate and execute special projects that support fundraising, stewardship, events, communications, and other departmental priorities.
- Flexibility to assist with evening events and a small number of weekend events throughout the year.
- Assist with maintenance and updating of Raiser’s Edge database; serve as backup support for gift entry and acknowledgement generation as needed.
- Assist with donor research; prepare reports, constituent lists, and donor visit briefings.
- Assist with stewardship efforts, both bulk and bespoke outreach.
- Manage departmental budget, track expenses, and prepare monthly budget/expense reports.
- Receive visitors, screen and route telephone calls; route and prioritize mail; respond to general inquiries.
- Coordinate departmental travel arrangements.
- Order and maintain office supplies and equipment.
- Other duties as assigned by the CAO.
Education and Experience:
- Bachelor’s degree required.
- Relevant professional experience in administration, operations, customer service, education, nonprofit, or related fields.
Qualifications:
- Strong work ethic and commitment to the School’s mission.
- Proficiency with MS Office Suite applications and Google Suite.
- Familiarity with CRM software; Raiser's Edge preferred.
- Excellent oral and written communication skills.
- Excellent interpersonal skills.
- Ability to multitask in a fast-paced environment.
- Excellent organizational skills and ability to prioritize tasks.
- Highly motivated and inherently proactive.
